Administrative Assistant
Silver Lion Farms is looking for a detail-oriented and highly organized Administrative Assistant to join our team in Ely, Nevada.
The Administrative Assistant position plays a vital role in supporting the Farm Manager with reporting, asset and maintenance tracking, inventory, and other administrative functions. This position is also responsible for managing all organic certification paperwork, processing, testing, and compliance reporting. This position is not eligible for overtime pay.
Typical shift hours: Hours can vary but typically are Monday–Friday from 7 a.m. – 3:30 p.m.
Location: This is an onsite position at our Ely, Nevada location at 30955 N. Alt, US-93, Ely, NV 89301 (near the intersection of US Rt 93 and US Alt Route 93).

Core Duties & Responsibilities:
- Maintain and update farm planting, usage, and yield reports in AgWorld.
- Record monthly well meter readings.
- Conduct monthly hay inventory counts, reporting any damaged product.
- Ensure all crop inventories remain accurate and up to date in AgWorld.
- Perform clerical duties, including filing, scanning, and general document management.
Weigh Scale Procedures & Operation
- Coordinate with trucking dispatch(es) to schedule hay loading and deliveries.
- Collaborate directly with hay buyers for loads not managed through dispatch companies.
- Work daily with the farm team to manage scheduled truck loading.
- Operate the truck weigh scale, generate Bills of Lading (BOLs), and issue scale tickets to drivers.
- Update daily inventory and sales tracking logs using collective BOL data.
- Partner with the Head of Farming to resolve customer inquiries and maintain strong relationships.
Organics Certification, Tracking & Testing
- Maintain and track all organic certification documentation.
- Communicate directly with the Nevada Department of Agriculture (NDA) for audits and annual certification renewals.
- Manage product, soil, and water testing for all crops.
- Report test results to management and assist with corrective or remediation action plans.
- Submit compliance reports to relevant agencies as required.
Purchasing & Receiving
- Collaborate with the Farm Manager and Procurement Department to assess needs and track purchases through delivery.
- Process receipts, track invoices, generate BOLs, and scan documents for Accounting daily.
Asset & Maintenance Tracking:
- Work with management to track farm assets, including vehicles, equipment, and tools.
- Enter all maintenance and service data into Bolt and provide monthly preventive maintenance reports.
- Assist in logging and following up on incident reports related to farm operations.
Other Duties:
- Provide hands-on support with labor or equipment operation as needed.
- Complete miscellaneous company-related errands or special projects.
Minimum Requirements:
- High school diploma or GED
- Administrative support experience
- Strong skills in Microsoft Outlook, Excel, and Word
- Proven ability to learn new software programs
- Experience in labor management or scheduling is a plus
- Valid driver's license
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Detail-oriented
Physical Requirements/Environmental Conditions:
- Lifting: Ability to lift and carry up to 25 pounds regularly.
- Standing/Walking: Must be able to stand and walk for extended periods.
- Manual Dexterity: Proficient hand-eye coordination for work-related tasks.
- Work Environment: Ability to work in outdoor environments exposed to varying weather conditions, including heat, cold, wind, dust, and humidity.
- Safety: Adhere to all safety protocols and use personal protective equipment (PPE) as required
