Junior Executive – Student Administration & Support Services

The Royal Institute encompasses five schools under the umbrella of "Royal Institute International School," alongside a higher education division known as the Royal Institute of Colombo (RIC). Additionally, it includes an online teaching platform named the Royal Institute Smart Academy (RISA), a skills development unit called the Royal Institute Center of Skills (RICS), and a sports complex. The Junior Executive – Student Administration & Support Services is responsible for providing essential administrative and operational support to ensure the smooth functioning of the support services department. This role involves assisting with daily office operations, coordinating support services, and delivering excellent service to both internal and external stakeholders. The Junior Executive will work closely with team members to streamline processes, resolve issues, and enhance the efficiency of support operations.

Duties & Responsibilities

  • Efficient classroom and space allocation for the lectures and internal/external events delivered and organized at RIC
  • Provide and attend to student requests for academic verifications/letters, etc.
  • Prepare and process claim sheets, verifying attendance, hours, and compliance with institution guidelines. Front facing education partnerships as a representative of RIC related to student matters and be the contact point of in-house students for matters related to admin including UoL student registrations.
  • Coordinating internal events, maintaining relationships and communication across all relevant support functions within RIC, arranging refreshments, and preparing budgets.
  • Oversee procurement of office supplies, ensuring timely ordering and optimal stock levels for smooth operations.
  • Issue ID cards to new students. Handling replacement process.
  • Maintain timely communication and follow up related to academics, administration, student services, and finance as per the requirements of each department. Updating the Student Management system used by RIC. Ensuring it is up to date with the correct student records.

Requirements

  • Bachelor's degree or diploma in Business Administration, Facilities Management, or a related field preferred.
  • 1-2 years of experience in an administrative or support role is preferred, but entry-level candidates with relevant skills may be considered.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
  • Ability to work both independently and as part of a team.
  • Ability to handle tasks under pressure and prioritize effectively.
  • High level of integrity and confidentiality.
