Job Description
You will support maintenance mechanics and facilities staff by performing maintenance responsibilities such as furniture moving, simple electrical projects, spot painting or cleaning, light construction or exterior clean-up. You will work with outside contractors on facilities and equipment repairs. May perform other activities such as mail deliveries, waste paper recycling, inter-office transportation and stocking of coffee areas.
Reporting to Workplace Services Manager - LA
Your Responsibilities:
- You will oversee daily operations across four businesses: vendors, maintenance, vehicles, and security, ensuring immediate response to all service needs.
- You will lead operational staff including cleaning personnel, maintenance people, and security teams.
- You will manage vendor relationships for services such as building maintenance, security, CCTV, HVAC, UPS systems, painting, and vehicle fleets.
- You will ensure documentation is provided and maintained, especially those required by EHS protocols.
- You will monitor building security systems (e.g., cameras), handle confidentiality protocols, and request authorization when needed.
- You will coordinate with building management and external providers to address infrastructure-related issues, including urgent repairs (e.g., water leaks).
- You will guarantee execution of preventive maintenance and mitigation activities.
- You will support RUC audits by managing all documentation related to the MedellĂn office.
- You will be the first contact for internal service requests and follow-up with employees across the company.
- You will report safety violations (e.g., vendors not using protective equipment) to EHS and our teams.
- You will safeguard sensitive information and ensure compliance with confidentiality standards.
- You will contribute to regional improvement plans across Colombia, Ecuador, Venezuela, Guatemala, Costa Rica, Puerto Rico, and the Dominican Republic.
The Essentials - You Will Have:
- Minimum 2 years of experience in administrative roles with an ability to manage personnel.
- To work with our teams and external providers.
- Basic to intermediate English proficiency (A2–B1), with confidence to participate in occasional meetings and understand international communications (e.g., billing with Poland, IT with India, security protocols).
- Commitment to creating inclusive, sustainable, and workspaces that promote human potential.
The Preferred - You Might Also Have:
- Experience supporting regional operations or multi-country teams.
- Familiarity with EHS documentation and compliance standards.
- Exposure to workplace improvement projects or innovation-driven environments.
- Experience contributing to spaces that foster well-being and culture, especially in offices like MedellĂn.
