The Position
The primary purpose of this role is to provide administrative and operational support to the procurement function in Vienna Global Site (which supports Vienna global site activities and global activities). The intern will be responsible for the efficient execution of procurement operational support tasks, while also gaining exposure to and assisting with more complex procurement processes under direct supervision. This role is designed to offload time-consuming procurement process duties, thereby allowing senior staff to focus on other key projects - strategic initiatives in the Procurement space.
Main responsibilities:
1. Procurement Operational Support
- Order Processing: support and track routine with Purchase Orders (POs) and ensure timely data entry into the ERP system, contract signature.
- Compliance & Filing: Organize and maintain all digital procurement files (contracts, RFQs) for easy retrieval and audit-readiness.
- Support to bidding processes: With supervision organize Bidding process.
- Communication: Handle non-complex internal and external communications, including supplier follow-ups and stakeholder updates.
2. Data Analysis & Automation
- Excel Mastery: Utilize advanced Excel functions (Pivot Tables, formulas such as VLOOKUP, SUMIFS,...) to clean, analyze, and report on procurement topics (surveys, spend data,..).
- AI/Automation Focus: Research and propose specific administrative tasks that can be streamlined using basic AI tools or automation platforms.
- Support in GenAI will be a strong plus.
3. Sourcing & Project Assistance
- Complex Project Aid: Support senior staff by assisting with documentation and initial analysis for larger, more complex sourcing initiatives.
How would your day to day look like?
- 30 - 50% on Procurement - Administrative tasks (such as Purchase order, contract signature), interaction with stakeholders.
- 10 - 20% on Excel-based Data Analysis and Reporting.
- 30 - 50% on Process Innovation (AI Focus), Stakeholder Communication, and Project Support. Data treatment, use of Gen AI to improve processes/researches, and documents.
Considerations:
- At the beginning this role is designed to offload time-consuming procurement process duties, thereby allowing senior staff to focus on other key projects such as Aspire and other project strategic initiatives.
- The person you will support will be in Vienna while you will be located in Barcelona / Sant Cugat. Other Procurement colleagues and the Manager of this Procurement function are in Barcelona / Sant Cugat.
- You will interact mainly in English with stakeholders in Vienna, but also in other sites from Roche such as USA, Germany, and Spain.
- Priority 1 and initial scope will be the Vienna Global Site activities and the priority 2 global activities currently done by the person in the global Vienna site (USA, Germany, Spain).
Studies & Knowledge:
- Bachelor in Economics or similar.
- Excel and Gen AI capabilities.
- Fluent in English (your work will be mainly done in this language).
