The Role

We are looking for a Sales Operations Specialist who thrives on accuracy, systems discipline, and digging into data trends. This role owns the order-to-invoice cycle end-to-end — from managing sales orders and customer records to coordinating delivery logistics and ensuring invoices flow correctly — while also supporting analysis of our growing software and subscription business.

Responsibilities

Order & Sales Operations

  • Manage the full sales order process — from purchase order entry to invoicing in our systems for key retail partners.
  • Track and organize incoming sales orders, ensuring accuracy and timely processing.
  • Handle credit card disputes and refunds within defined policies.
  • Monitor EDI/API interfaces to ensure orders and invoices flow correctly.
  • Coordinate delivery logistics with key partners.
  • Review and resolve API transaction issues weekly to keep invoice data complete and accurate.
  • Troubleshoot recurring errors — flag issues and escalate clearly to IT when needed.
  • Partner with Sales, Finance, and IT teams to keep processes connected.
  • Assist in analyzing retail sales and usage trends across Rapsodo's software and subscription products.
  • Provide insights that help sales, marketing, and product teams improve subscription growth and retention sales initiatives
