Business Support Administrator/Location Support Coordinator Location: UK – Leeds – Site based
The role will be within the Administration Services Team for the UK, reporting into the Shared Service Team Leader, you will work across the UK markets to provide administrative support.
You will be responsible for providing a highly professional, efficient, and effective administrative service. You will be required to collaborate with multiple teams across the business to successfully support a range of requests.
The role will be based in Leeds office Monday – Friday from 9am to 5pm and hybrid working will not be offered as part of this role.
The role will be 80% Business Support Administrator and 20% Location Support Coordinator.
Main Role Responsibilities (Business Support Administrator)
- Produce and format documents to a high standard in line with Ramboll's brand guidelines. This may include reports, specifications, presentations, organograms, meeting documentation which are aimed at a range of internal and external audiences. Proof-reading, quality assurance and consistent use of corporate branding is essential.
- Proactively engage with colleagues to fulfil a range of support requests. Regularly obtain feedback, review processes, and share best practice with team members by promoting a culture of continuous improvement.
- Provide non-strategic bid and PQQ support through collation of bid documentation, research of standard company information, insurance certificates, production of CVs and case studies etc.
- Organise internal and external meetings and events including associated logistics. Liaise with Location Support, Facilities Management, and IT teams where necessary.
- Provide a flexible and adaptable approach with the ability to prioritise workload. Undertake allocated duties and tasks when required to support the effective operation of the shared service team.
- General office administration which includes providing ad hoc support and administrative project work as and when required.
Required Qualifications, Skills and Knowledge
- Extensive experience of providing high quality administrative support.
- Strong verbal and written communication skills, with excellent attention to detail.
- Excellent working knowledge of Microsoft 365, including Word, PowerPoint and Excel.
- Ability to work independently and collaborate with others, providing support to other colleagues during times of heavy workload and absences.
- Ability to work well under pressure and use own initiative.
- Demonstrable experience of producing documentation and collation to a high standard, maintaining consistency with language, formatting and brand.
- Maintains confidentiality at all times.
- Excellent organisational and interpersonal skills with the ability to meet deadlines.
- Demonstrates a high level of professionalism.

Main Role Responsibilities (Location Support Coordinator)
As a Location Support Coordinator your role will be providing a highly professional, efficient, and effective service to UK offices as one central team. You will be responsible for creating an inspiring environment within the office where people can relax and deliver exceptional work. This role will deliver location support, facilities tasks, IT support and HSEQ compliance to ensure the business can successfully deliver to its clients.
You will gain knowledge of our visitors and their expectations with a view to implement approaches that add value to their experience and contribute to a culture of continuous improvement. It's a varied and dynamic role which is all about being an organised team player with a sharp attention to detail and problem-solving skills.
This is a support services role that requires a physical presence on site, and you will be the main point of contact for your assigned office(s).
Your key tasks and responsibilities will be:
- Focus on delivering a positive visitor experience, through welcoming clients, visitors, and contractors. Maintain correct visitor sign-in protocols and comply with health and safety and GDPR policies and procedures.
- Lead by example by promoting and maintaining a high level of professional behaviours.
- Assist with the smooth running of the office, front of house, desk bookings, car park (where applicable).
- Supporting with reception duties, including meet and greet, answering incoming calls and scheduling appointments.
- Coordinate meeting rooms, including facilitating set up of AV, Tele/Video conferencing facilities, refreshments, IT assistance and other general requests.
- Assist with reporting and logging tickets through the appropriate Support Helpdesk on behalf of clients and visitors. Ensure matters are resolved in a timely manner.
- Liaise with outsourced cleaning operatives and PPM engineers.
- Dealing with incoming post, couriers, and deliveries.
- Local low tech IT support – setting up desks with docking station, ordering assets, laptops as requested.
- Ideally a First Aider or Fire Marshall for the office.
- Ad hoc support tasks as required.
- Provide access control to visitors and staff members.
- Obtain and save documents relating to facilities management by maintaining the PPM tracker.
- Ensure all printers are topped up and no paper left on top, ensuring coffee machine is topped up, cleaned, and flushed.
- Deliver local and national new starter inductions.
- Ensure staff refreshments and stationery are maintained and replenished.
