Cartage & Operations Coordinator
The Cartage and Operations Coordinator is responsible for managing day-to-day transportation operations and ensuring timely, accurate service for customers. This role coordinates pick-ups, deliveries, billing, and accessorial charges, while also serving as a key point of communication between drivers, customers, and internal teams.
Key Responsibilities
- Coordinate daily recovery work from linehaul and airlines.
- Prepare and distribute delivery receipts and driver manifests.
- Schedule customer-requested pick-up appointments.
- Track and update shipment statuses (OH, OFD, POD, etc.) and communicate delays or issues to customers.
- Resolve service issues, including rescheduling deliveries as needed.
- Provide accurate, timely updates to customers and ensure high levels of satisfaction.
- Manage accessorial charges: notify customers, obtain approvals, and ensure proper billing.
- Collaborate with leasing company for equipment breakdowns and maintenance scheduling.
- Oversee fuel needs and receipts.
- Process billing: rate jobs, confirm charges, and ensure accuracy.
- Collect and review driver documentation, including pre- and post-trip records.
- Perform other duties as required to support operations.
Qualifications
- High school diploma required; business-related education preferred.
- 2+ years of cartage or transportation operations experience.
- Strong knowledge of the U.S. transportation industry and geography.
- Experience in temperature-controlled or cross-border transportation is a plus.
- Proficiency is Microsoft Office; SAP/TM or similar TMS experience preferred.
- Excellent customer service and communication skills.
- Strong organizational, problem-solving, and decision-making abilities.
- Detail-oriented with the ability to multi-task and prioritize effectively.
- Team-oriented with strong negotiation and interpersonal skills.
Work Schedule & Environment
- Full-time role, 8 hours per day with required meal and rest breaks.
- Punctuality and consistent attendance required.
- Climate-controlled office with moderate noise level.
Physical & Other Requirements
- Ability to sit, walk, talk, hear, and use hands for computer work.
- Occasional assistance with vehicle loading/unloading.
- Vision requirements: close, distance, peripheral, and ability to adjust focus.
- Ability to perform basic math functions (add, subtract, multiply, divide).
- Ability to read interpret documents, reports, and instructions; write correspondence; and communicate clearly with internal and external contacts.
Communication
- Internal: Operations, Supervisor, General Manager, Drivers, Warehouse Personnel.
- External: Customers, shippers, and vendors for order coordination, service updates, and billing.

*Salary Range: $17.00 - $20.00 Hourly Salary Range
