People Operations Coordinator

We're hiring a People Operations Coordinator to be the glue behind the scenes, keeping things efficient, human, and joyful. This role blends office management, people operations, and executive support. You'll help us scale our culture, ensure smooth day-to-day operations, and create the experiences that make working at Quindar meaningful.

From onboarding new hires to planning offsites, supporting executives, and making sure the office runs seamlessly, you'll be central to our team's rhythm and growth. Key Responsibilities

  • Culture & Team Engagement
    • Plan and execute team activities: happy hours, outings, local events, and charity engagements
    • Coordinate company offsites (agenda, logistics, activities, travel)
    • Lead employee recognition efforts: birthdays, work anniversaries, welcome kits, and company swag
    • Keep internal communications flowing through company-wide emails and newsletters
  • People Operations
    • Own HR onboarding, ensuring a smooth first-day experience
    • Manage benefits administration and employee support
    • Maintain and update the employee handbook
    • Coordinate performance review processes (scheduling, reminders, documentation)
    • Support recruiting (scheduling interviews, coordinating candidate logistics, ensuring a great candidate experience)
  • Office & Facilities
    • Oversee office operations, including snack/beverage replenishment and space planning
    • Source and coordinate office space as we grow
    • Manage vendors and handle shipping/logistics as needed
  • Executive Support
    • Coordinate executive schedules (internal and external)
    • Book lodging, flights, and other travel logistics for executives
    • Support board meetings (scheduling, materials preparation, documentation)
    • Prepare expense reports and manage reimbursements

Requirements

  • 3+ years of experience in office management, people operations, or executive support (startup experience required)
  • Highly organized with strong attention to detail and follow-through
  • Excellent written and verbal communication skills
  • Comfortable managing multiple priorities and working in a fast-paced environment
  • Strong sense of discretion and confidentiality when handling sensitive information
  • A team player who brings energy, positivity, and creativity to building company culture

ITAR REQUIREMENTS:

  • To conform to U.S. Government export regulations, applicant must be a (i) U.S. citizen or national, (ii) U.S. lawful, permanent resident (aka green card holder), (iii) Refugee under 8 U.S.C. § 1157, or (iv) Asylee under 8 U.S.C. § 1158, or be eligible to obtain the required authorizations from the U.S. Department of State.
