Director of Operations

The Quincy Institute seeks a Director of Operations to oversee budgeting, bookkeeping, compliance, finance, human resources, and IT aspects of the <50 employee organization. This role manages a Deputy Director, who has been with the organization for 4.5 years and an HR Generalist, as well as oversees relations with a PEO, IT contractors, accounting and auditing firms, and financial advisors and institutions. QI is a six-year-old foreign policy think tank and communications project seeking a director for a vibrant, $8M mission-driven organization that works for a more peaceful, less war-focused US foreign engagement with the world.

Location and Salary: The organization is headquartered in Washington, D.C., and strong preference is for the Director to be located there, but NY and remote work for this position is possible when considering the best candidate. The salary range for this position is $120,000-160,000.

Responsibilities

Oversee bookkeeping and payroll, ensuring proper cash flow. Drive the Institute's financial planning and evaluate the organization's fundraising plans and capital structure; establish careful finance controls and update and document financial policies.

Manage and mitigate risk regarding the organization's liabilities and investments.

Manage external consultants (auditors, legal, accounting, investment advisors, etc.) and review institutional contracts (eg, Cision, Quorum, Raisers Edge).

Oversee the preparation process and accounting/audit partner for periodic and year-end financial statements.

Prepare appropriate documentation for the organization's leadership and governing board.

Ensure compliance with the state and federal laws and agencies regarding charitable and corporate status.

Oversee development of and ensure compliance with institution's personnel policies. Manage human resources staff.

Oversee annual and long-term budgetary planning and cost management in alignment with the institute's strategic plan.

Manage office leases (DC and NY).

Manage and recommend insurance policies and legal review to minimize the institute's exposures to legal risks.

Assist and advise the CEO and EVP in long term planning for the institute.

Ensure IT support to staff and manage and minimize risk to the institution. Introduce tools, systems, and training to improve organizational efficiency.

Maintain and upgrade the QI website; support RS website as requested. Maintain inventory of computers and other substantial equipment.

Requirements

At least seven years of experience running operations of an enterprise, preferably with at least some experience in the public interest/non-profit sector.

Previously managed or directed operations for a comparably sized organization and can thrive in a late start-up environment.

Previous experience managing external consultants and reviewing institutional contracts.
