Operations Support Coordinator
An Operations Support Coordinator at Irby Construction Company's primary function is supporting the Operations Department in generating proposals and setting up awarded jobs. This position will facilitate effective operation of the department through coordination and implementation of office procedures, document management, and special projects.
What You'll Do
- Manage daily email volume (~100–200 emails/day)
- Download, organize, and maintain project documents
- Upload bids and other required documents to company systems
- Read and analyze bid documents and contracts to determine project scope
- Log project scope and key details into Salesforce
- Develop and maintain submittal lists
- Complete bid review forms with required proposal information
- Generate all required documents for bid submissions
- Create and update Irby's pricing sheets in Excel
- Assist the Bidding Coordinator with data entry, tracking, and database management
- Set up awarded job budgets in Irby's database system
- Maintain and update Power Company sites, ensuring timely upload of required documentation
- Complete pre-qualification forms (potential to transition this responsibility to another department)
- Assist with Subcontractor Agreements and Subcontractor Management in Avetta
- Adhere to all company policies while conducting business
- Maintain electronic shared files
- Make copies, scan, and archive data and records
- Distribute incoming and outgoing mail as needed
- Perform special projects as assigned
- Other duties as required to support Operations
What You'll Bring
- Proficient in Microsoft Excel; strong working knowledge of Word, Project, Visio, Access, PowerPoint
- Experience using Adobe Writer
- Highly detail-oriented with strong organizational skills
- Ability to work independently and under pressure
- Knowledge of standard office processes and practices
- Minimum High School Diploma; Associate's Degree or certification preferred
- At least 3 years of relevant administrative or operations support experience
- Excellent written and verbal communication skills
- Adaptable and resourceful
- Lifting and handling materials up to 50 pounds unassisted.
- Ability to lift files, opening filing cabinets and bend or stand as necessary
