Supervisor, Property Administration Support

Reporting to the Sr, National Manager, Lease Administration and Property Management Support, the role of the Supervisor, Property Administration Support is to add value to Finance and Real Estate Services staff and clients by supporting the development of excellence in property administrators through training, process development and supervision of finance and operational priorities. This role supports the property administration team by assisting to develop high level administrative skills.

This is a significant role that will provide QuadReal with assurances that the property administration group is a knowledgeable, high-quality group that is functioning with appropriate levels of leadership, support, and controls. This role also supports and allows for sustainable growth of the business.

Note: This role involves occasional travel to site offices and other cities for project work.

Responsibilities

  • Work one-on-one with new staff members to orient and train them on property administration business processes at QuadReal.
  • Provide training and frontline support on software platforms used by Property Administrators, including Microsoft 365, Yardi, QuadReal Access, Workday, SharePoint team sites, and collaboration tools.
  • Educate property administration staff on how to work efficiently using QuadReal tools.
  • Provide guidance and support to ensure staff meet monthly, quarterly, and annual deadlines as set out by management.
  • Deliver training and support to ensure staff operate in accordance with ARM, internal controls, processes, procedures, and organizational business rules.
  • Demonstrate work practices that ensure property administration tasks are presented professionally and are free of material misstatements or errors.
  • Assist property administration staff in understanding and complying with tenant lease obligations.
  • Encourage positive communication and interpersonal interactions to ensure property administration delivers exceptional customer service.
  • Support continuous improvement of processes and procedures to enhance work efficiency, uphold corporate standards, integrate staff from diverse backgrounds, and respond effectively to tenants and team members.
  • Plan, prioritize, and organize logistics for new staff onboarding, group training activities, one-on-one sessions, weekly meetings, seminars, conferences, and other special events as appropriate.
  • Coordinate and prepare focused training agendas based on input from expert users, end users, stakeholders, and management.
  • Establish and maintain nationally focused business process materials and job aids, ensuring regional or portfolio differences are clearly outlined and documented, while aligning to national standards whenever possible.
  • Manage the change process for the Property Administration document library, overseeing the lifecycle of business processes from creation to retirement.
  • Conduct site visits to review implementation of QuadReal business processes and provide positive, supportive training where knowledge gaps are identified, while remaining sensitive to site-specific considerations.
  • Participate as an active member of project teams responsible for onboarding properties, staff, and technology, as well as planning specific training and other initiatives.
  • Provide support and input as a contributing member of organizational project teams.

Experience and Qualifications

  • Demonstrated expertise in commercial real estate operations, including property management support.
  • Proven ability to deliver high-quality tenant services in a commercial real estate environment.
  • Experience administering tenant leases and ensuring compliance with lease terms.
  • Skilled in managing cash receipts, billing cycles, and accounts receivable processes.
  • Proficient in accounts payable and vendor management within a property management context.
  • Strong background in reporting and data management for real estate portfolios.
  • Solid understanding of general accounting principles and practices.
  • Familiarity with organizational policies, procedures, and standards relevant to property operations.
  • Advanced proficiency in Yardi, with experience as an expert-level user.
  • Competent in Microsoft 365 applications for daily business operations.
  • Experienced in using SharePoint for document management and collaboration.
  • Working knowledge of Workday for HR and financial processes.
  • 2–5 years of experience in the commercial real estate industry.
  • Holds a college degree in a relevant field.
