Customer Service Admin Responsibilities:
- Prepare, process and follow up on service quotes
- Create, enter and follow up on parts orders
- Review and submit expense reports to AP for reimbursement and credit card reporting—also compiles expense report data into the billing template
- Enter service POs into ERP and monitors service backlog to ensure that billing is pushed to accounting promptly
- Onboard and update company, customer, and customer service technician information in contractor and supplier portals (ISN, Avetta, etc.)
- Schedule service trips with customers and possible travel bookings for field service technicians
- Prepare and administer customer satisfaction surveys
- Assist in analyzing and communicating findings to the leadership team
- Coordinate operations and procedures and provide support to colleagues in the office and field
- Connect customers with Electrical Engineering department to get programs, send and file NDAs
- Compile and send manuals to customers
- Answer main phone line and transfers calls as needed
Requirements for Customer Service Admin:
- Strong attention to detail
- Good verbal and written communication skills
- High level of organization and time management skills
- Flexible, adaptable, detail-oriented and self-motivated
- Basic knowledge of Microsoft Word, Excel and Outlook
- Able to work independently, multi-task, and prioritize
- Able to respond effectively to changes in situation or information
- Able to lift up to 25lbs
