Reason For The Position
The General Services Manager ensures the management and supervision of the services aimed at providing a working environment that meets the current and future needs of the company and its employees, in compliance with hygiene, safety, quality, and budgetary constraints.
Profile
Reports to the Finance Director and General Services
Missions:
- Management of a team of 6 people within the General Services and coordination of actions in the 7 agencies in France.
- Elaboration, monitoring, optimization, and regular reporting of the operating budget of the general services.
- Management of contracts, framework agreements, and service provisions for general services: management of tenders, negotiation, management of renewals and terminations of contracts.
- Management of the real estate park:
- Management of commercial leases: negotiation of leases in conjunction with the legal department, relations with landlords, management of renewals and rent reviews,
- Supervision of the control of charges and indices,
- Supervision of installation, repair, and routine maintenance of premises,
- Supervision of maintenance plans and regulatory controls of premises equipment, ensuring compliance with current regulations and QSE requirements.
- Supervision of purchases: furniture, supplies, energy, photocopying, beverages, miscellaneous equipment,
- Ensure technological and regulatory monitoring of installations and buildings.
- Management of projects for the arrangement and relocation of our facilities:
- Search for premises, negotiation with landlords (distribution of charges and maintenance, lease waivers, terms of premises arrangement…),
- Organization, planning, and management of fitting and arrangement works,
- Management of relocations.
- Management and optimization of a fleet of 92 vehicles on long and medium-term lease:
- Management of lease contracts, cost tracking,
- Supervision of orders, amendments, maintenance, and follow-up.
- Supervision of car insurance and multi-risk insurance (declaration and follow-up of claims, updating of guaranteed amounts, addition of sites),
- Supervision of mobile telephony,
- Supervision of the reception area (mail, couriers, etc.),
- Supervision of the travel agency contract, SNCF, and hotel agreements (management of relationships, annual reviews of agreements),
- Preparation and management of certification audits within the scope of the process file of general services and audited agencies.
- Elaboration and monitoring of activity dashboards, tracking of process efficiency through performance indicators, annual evaluation of suppliers, writing and updating of procedures and operating methods.
HSQE
- Carry out work in compliance with the prevention measures implemented within the company, notably in the Unique Document, Health, Safety, and Environment Policies, procedures, operating methods, and guides;
- Supervision of external service providers during interventions in our premises (drafting of prevention plans, verification of authorizations, work certificates, etc.);
- Participate or initiate the corrective actions to be implemented.
Quality
- Respect and implementation of the company policy and quality procedures;
- Participation in the updating of quality management system documents;
- Declaration of non-conformities and participation in the implementation of corrective actions;
- Participation in continuous improvement and knowledge sharing projects.
