Program Service Representative - Emergency Fund

The Program Service Representative will work with DHS Emergency, JJC & Prevention Assistance Fund applicants and the NNCC FAIR Project Family Emergency Fund applicants to complete applications/invoices. The Program Service Representative will be responsible for ensuring that all applications are complete and accurate and meet the specific fund protocols. Maintain all documents related to the application, communicate with funders and team to ensure that the application is processed expeditiously. Enter data into the MIS and appropriate spreadsheets.

Responsibilities:

  • Conduct mailings to Fund users.
  • Photocopy applications/invoices, support documents, and checks as needed.
  • Enter relevant data from applications/invoices into the MIS.
  • Serve as day to day contact for the Funds in the absence of the Fund Administrator.
  • Maintain Fund files including electronic/emails in a secure and organized manner.
  • Mail, deliver, and/or coordinate distribution of checks.
  • E-mail confirmation of checks to Fund users.
  • Enter payment data into MIS.
  • Review applications and invoices.
  • Communicate with Agency Administrators/Reviewers in order to resolve application/invoice deficiencies.
  • Enforce policies in EF, PAF, FSPP & NNCC protocols.
  • Maintain amicable relationships with funder and Fund applicants.
  • Work with DHS Project Manager in the Commissioner's Office for application exceptions and high priority applications for approval.
  • Advise Program Manager of MIS uses and program needs in order to expedite/streamline the process.

Skills:

  • Computer proficiency, familiarity with Excel, Access and Word
  • Good communication skills
  • Attention to detail
  • Ability to work within deadlines

Education and Experience:

  • Minimum of 2 years of work experience in an office setting
  • High School Diploma/GED required, Bachelor's Degree preferred
