Data Operations Specialist

Location: Fully-Remote (Work from Home), 9 AM – 5 PM EST
Role Overview: The Data Operations Specialist will ensure data flows seamlessly between systems, maintain accurate records, and organize large datasets. This role emphasizes meticulous data migration, management, and cleanup to protect data integrity — it does not involve generating business insights or analytical reports. The ideal candidate is highly proficient in Excel and comfortable working with CRM platforms such as Salesforce or NetSuite, with strong attention to detail and reliable data-handling skills.
Key Responsibilities:
Data Movement & Management
- Move large sets of data between platforms, ensuring no information is lost during migration or integration processes.
- Maintain and transfer data between systems such as Salesforce or NetSuite, ensuring consistency and accuracy across platforms.
- Monitor data migration projects to ensure seamless transitions and maintain data integrity at every stage.
Data Organization & Cleanup
- Organize raw data into structured formats using Excel pivot tables to improve accessibility and usability.
- Conduct regular data cleanup tasks to correct inconsistencies and formatting issues, ensuring data quality.
- Standardize data across platforms to maintain consistent formats, structures, and terminology.
Excel Usage & Data Structuring
- Manipulate large datasets in Excel to create pivot tables, charts, and other tools for easier access.
- Use advanced Excel functions (VLOOKUP, INDEX/MATCH, data validation) to enhance accuracy and usability.
- Prepare data for stakeholders in accessible formats to support their work (without producing complex business analyses).
Stakeholder Support & Communication
- Present data to stakeholders in clear, understandable formats so that the required information is actionable.
- Deliver required data to stakeholders on time to help them meet objectives. This role supports data needs but does not generate business insights or reports.
- Communicate effectively with internal teams to ensure smooth data flow and address data-related issues promptly.
Qualifications:
Experience
- 2+ years of experience in data management, data migration, or data operations.
- Experience working with CRM systems; exposure to Salesforce or NetSuite is a plus.
- Proven experience handling large data sets and migration tasks while preserving data integrity.
Skills
- Advanced proficiency in Excel (pivot tables, VLOOKUP, INDEX/MATCH, data validation).
- Strong attention to detail and commitment to accurate, clean data.
- Excellent communication skills with the ability to present organized data clearly.
- Highly organized with the ability to manage multiple data tasks simultaneously.
- Strong problem-solving skills and a proactive mindset to identify and correct potential data issues.
- Comfortable working independently and collaboratively with other teams.
