Content Operations Specialist

This role is open to candidates based in LATAM, Africa, and Eastern Europe. Candidates must be available to work during U.S. business hours aligned with the client's time zone as this role supports U.S.-based clients.

Location: Fully Remote | 9 am - 5 pm EST

Role Overview: The Content Operations Specialist will support the operational execution of webinars and course logistics, ensuring that live and recorded learning experiences run smoothly. This role is central to accurate setup across systems, real-time delivery support, and proactive coordination with instructors in a fast-paced, collaborative environment.

Key Responsibilities

  • Moderate live webinars to ensure smooth delivery, including monitoring chat and Q&A, managing audience experience, and supporting timing and transitions
  • Provide real-time operational support to instructors and internal staff during webinars
  • Serve as backup webinar support as needed to prevent disruptions or delays
  • Conduct technical checks with clients for simulcast or satellite courses
  • Complete webinar entry and configuration, including session details, speaker information, timing, links, and required fields
  • Perform post-test entry for webinars, ensuring learner assessments are built correctly and aligned to each event
  • Maintain clean and accurate records to support reporting, learner experience, and downstream operational needs
  • Manage data and course entry across internal systems including ON24, Zoom, Alchemer, and Salesforce with high accuracy and consistency
  • Enter and maintain course records and reports, ensuring completeness and proper formatting
  • Track updates and changes to keep operational data reliable and usable for internal teams
  • Coordinate directly with instructors ahead of webinars to confirm readiness, gather required information, and address gaps early
  • Ensure instructors have necessary resources such as links, timing expectations, materials, and basic technical requirements
  • Proactively identify risks and escalate issues before they impact live delivery
  • Order and coordinate course materials for in-person course locations, including supplies such as tape, gloves, and other required items
  • Track requests, ordering status, and delivery details to ensure materials arrive on time

Qualifications

Experience

  • Experience in operations, administrative support, or webinar and event execution

Skills

  • Strong data entry and data management skills with a consistent track record of accuracy
  • Excellent organizational and time management abilities, with the capacity to manage recurring tasks while responding to urgent live issues
  • Comfort with technology and the ability to quickly learn new platforms
  • Clear written and verbal communication skills when coordinating with instructors and internal stakeholders
  • Ability to work independently, remain accountable, and manage details without constant oversight
  • Strong attention to detail, process-driven approach, and reliability under pressure during live webinars
  • Calm, dependable presence in fast-paced, live delivery environments
  • Familiarity with webinar platforms such as ON24 or Zoom
  • Experience with record maintenance and professional or continuing education workflows
