Occupational Medicine Clinic Support Specialist

The Occupational Medicine (Occ Med) Clinic Support Specialist and Special Projects Coordinator is a central member of our team with key responsibilities including assisting clinics with OccMed readiness for meeting client expectations, championing and leading many of the special OccMed projects designed in support of operations excellence and flawless execution, as well as training and educating clinical staff on the nuances of OccMed services. This position reports to the Occupational Services Operations Manager.

Essential Duties and Responsibilities:

  • Work directly with the operations manager to roll out initiatives and special projects that align with the OccMed Strategic Plan
  • Liaison between the Client and Business Dev. Rep., and the Clinical Staff
    • Clinic implementation and readiness
    • Communication and updates to workflows and protocols
    • Participate in New client meetings assisting with client set up, i.e., Employer Portal
    • Quality check client meetings
  • Support flawless execution in the centers by monitoring/directing/completing Business Development tickets
  • Offer real-time support for clinical staff by monitoring and responding to PSR/CSR/Provider questions in the OccMed Teams Help Desks
  • Perform regular clinical audits identifying gaps and opportunities for improvement:
    • Spot Checks
    • Daily Audits
    • Deep Dives
  • Perform clinic visits & wellness checks 4x per month – all markets
  • Monitor Key Performance Indicators across all markets:
    • Cycle times
    • Errors
    • Patients Per Day
  • Lead monthly OccMed update meetings with market leadership (all markets)
  • Host Office Hours 4x per month (all markets) – addressing FAQs, common mistakes being made in center, and rolling out continuous improvement initiatives
  • Support screening process for OM Specialists by performing in-clinic assessments
  • Host DOT UDS/BAT class 1-2x per quarter
  • Perform compliance audits 2x per year - all markets
  • Work clinical shifts as necessary
  • Other duties as assigned
  • Minimum travel requirements 40-50% - all markets

Qualifications and Required Skills:

  • Minimum 3 years' experience working in a high-volume Occupational Medicine Center
  • Expert-level knowledge of clinical operations
  • Experience in client relations
  • Demonstrates exceptional and professional communication skills
  • Remarkable documentation skills, focus on accuracy and attention to detail
  • Exceptional verbal, written, and presentation skills across varying professional levels (company contacts, patients, providers, clinical staff, and senior leadership)
  • Working knowledge of Microsoft Office Suite
  • Documentation/typing skills
  • Project Planning skillset
  • Positive and energetic team player
  • Self-starter, great work ethic, able to work independently, as well as with others
  • Ability to work with staff members at all levels of the organization in a cooperative, team-oriented manner
  • Conduct business in a service-oriented manner that is attentive, cooperative, sensitive, respectful, and kind
