The Leisure Sales Coordinator (On Site) will play a vital role in building the brand image that the resort must convey in order to establish and position the property as a true luxury resort. Responsibilities include supporting the leisure sales team, answering phone calls and emails regarding reservation inquiries and qualifying business, planning and possibly conducting site tours, working on special projects pertaining to upcoming sales missions and VIP guests, and other duties as required to ensure the operational efficiency of the department. The ability to multi-task and keep organized is paramount. While the work environment primarily stresses teamwork, the sales and marketing department thrives on independent thinkers who are self-reliant, self-motivated, flexible, detail-oriented, and unafraid to ask questions. The individual creates procedures, makes suggestions and becomes an integral part of the team.
• Answer incoming phone calls and emails to the Leisure Sales Office, qualify the inquiry and distribute to the correct sales manager for follow-up in a timely manner.
• Assist with and complete reservations for travel agent rates, complimentary stays, and site inspections. Act as liaison while managers are out of the office.
• Assist with and track agent commissions and long stay bookings.
• Provide rate quotes and complete room reservation bookings following the Aspire Sales Funnel.
• Cultivate and maintain excellent relationships with guests and travel agency partners.
• Identify reservations booked by preferred partners of the hotel and recognize the guests with a welcome card and amenity as directed by the leisure sales team.
• Execute the VIP Program which may include room blocking and inspection, ordering and delivery personalized VIP amenities and arranging airport transfers, dining, spa, golf and activity reservations. Act as the luxury concierge for travel advisors and their clients during pre-arrival, check-in and throughout the length of stay.
• Communicate arrivals, itineraries and any pertinent information of VIP guests to resort operations to ensure that guests' expectations are exceeded.
• Maintain a positive working relationship with other departments.
• Coordinate with Experience Concierge to conduct pre-arrival calls to capture itineraries, guest preferences and other details to ensure an enjoyable stay.
• Plan site inspections and Fam trips as directed by Leisure Sales Managers and communicate to resort operations. Possibly conduct site inspections and Fam trips in the absence of sales manager.
• Coordinate activities, collateral, meetings, sales missions, travel itineraries and conferences for assigned sales managers.
• Assist Sales Managers with expense reporting and compliance with travel policies.
• Organize and update travel agent and VIP databases on a regular basis.
• Handle all Leisure Sales gift certificate requests by logging and processing them.
• Perform general office duties and assist other personnel, as required.
Additional Duties & Responsibilities:
• Make reservations in property management system
• Up-sell premium resort offerings (Suites, Bungalows, Casitas, Villas)
• Stay abreast of industry trends and make recommendations of changes, which would affect operations.
• Establish, measure, monitor, and evaluate processes and polices.
• Attends department and other property meetings as required.
• Greet and assist VIP clients and industry guests when visiting the resort.
• Prior experience as an office manager, reservations agent or in customer service.
• Experience in resorts, hotels, and/or sales and marketing will be advantageous.
• Excellent office and organizational skills including office procedures, filing systems and equipment.
• Proven command of the English language, both oral and written. Excellent telephone etiquette. Proficient skills in proofreading and editing.
• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); Delphi.fdc or Opera PMS experience preferred.
• Ability to use independent, analytical judgment and demonstrate creative problem solving.
• A team player and enjoys contact with the public.
• Familiar with managing budgets, business reports and schedules.
Experience, Education, & Licensure:
• High school graduate or GED
• College degree preferred
• Strong PC skills, MS Windows, Word, Excel, PowerPoint and Outlook
• Industry certifications a plus.
Compensation:
Base Pay Start Rate: $26.65/Hr
