Contract Support Associate

As a Contract Support Associate, you will play a key role in supporting the delivery of a client account. This includes financial and operational administration, vendor coordination, workflow and CMMS management, and customer service. You will work closely with the Account Leader and site teams to ensure smooth operations and exceptional service delivery.

• Serve as the first point of contact for client inquiries, ensuring timely, courteous, and effective communication.

• Support account governance through financial reporting (WIP, Debt, OPO, Invoice Pool), data analysis, and budget tracking.

• Manage customer billing, ensuring accuracy in margins, invoicing, and compliance with company and client policies.

• Coordinate vendor onboarding and manage subcontractor documentation for reactive and planned maintenance.

• Maintain and update the account's web quote system and CMMS, ensuring accurate job status and data integrity.

• Monitor Helpdesk activity, log service requests, and coordinate timely resolution with internal teams and vendors.

• Prepare internal and client-facing reports, attend meetings, and document minutes.

• Ensure compliance with Health & Safety (HSE) standards and maintain QHSE documentation.

• Support monthly business reviews and contract performance reporting.

• Recommend process improvements and cost-saving initiatives to enhance operational efficiency.

• Receive and direct incoming calls to appropriate personnel and voicemail.

• Greet clients, applicants, and visitors upon arrival. Issue visitor passes and parking validations and follow security protocols.

• Schedule and prepare meeting and conference rooms. This includes room setup, placing catering orders, and securing technological equipment. Request building and housekeeping services as needed.

• Perform general clerical duties including distributing office faxes and packages and ordering office supplies.

• Track incoming and outgoing packages, mail, and freight. Arrange messenger service as needed. Arrange hospitality services for guests such as transportation, tickets, reservations, etc.

• Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.

• Impact through clearly defined duties, methods, and tasks are described in detail.

• Deliver own output by following defined procedures and processes under close supervision and guidance.

• Daily walks of the facility to identify any cleaning, maintenance/repairs or management needs and submit report to account manager.

• Report/request building and equipment maintenance services, as needed.

• Assist with onboarding new receptionists at other locations, as needed.

• Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

• High School Diploma or GED required; Associate's degree in Accounting, Finance, or related field preferred.

• 3–4 years of relevant experience in administrative, financial, or contract support roles.

• Strong understanding of financial processes, including invoicing, purchase orders, and cost tracking.

• Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

• Excellent written and verbal communication skills.

• Strong organizational skills and attention to detail.

• Ability to analyze and solve problems independently.

• Advanced math skills, including percentages, markups, and discounts.
