Distribution Services Supervisor

The Distribution Services Supervisor is responsible for managing the day-to-day operations of the University's mailroom, ensuring the efficient and timely handling of all incoming and outgoing mail and packages for students, faculty, staff, and departments, as well as external clients when needed. This role oversees mailroom staff and student workers, implements and maintains service standards, and ensures compliance with postal regulations to maximize cost-efficiency. The supervisor develops and enforces operational procedures and best practices, monitors workflow, and coordinates distribution activities to meet service expectations across campus. This position reports to the Press & Distribution Manager and may provide cross-functional support to Gannon Press operations as scheduling allows.

Education:

  • High school diploma or equivalent required; associate or bachelor's degree preferred.

Experience:

  • Minimum of 3 years of experience in a mailroom, logistics, distribution services, or customer service environment.
  • Supervisory experience strongly preferred.

Skills:

  • Knowledge of USPS, UPS, FedEx, and related carrier procedures and regulations
  • Staff supervision and scheduling
  • Training and onboarding
  • Delegation and workflow coordination
  • Conflict resolution and performance management
  • Organization and multitasking in a fast-paced setting
  • Attention to detail in sorting and tracking
  • Excellent written and verbal communication
  • Customer service and problem-solving orientation
  • Proficiency with shipping software, postage meters, label printers, and tracking systems
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Licenses or Certifications:

  • Valid driver's license for at least two years with a clean driving record.
  • Ability to become certified to operate a forklift, pallet jack, or other equipment if needed.
