Administrative Support Assistant - Intermediate

The Department of Biology is seeking an Administrative Support Assistant - Intermediate to provide assistance to the department.

The successful candidate will be expected to:

  • Coordinate departmental seminars, specialty seminars and departmental events
  • Prepare bulk copy requests of course materials as requested by faculty
  • Assist with requisition development of PT non-academic employees in Workday and monitor candidates through hiring process
  • Maintain office directories, departmental website, listservs
  • Greet incoming guests, assist with scheduling Biology conference rooms and College net room
  • Request sponsored accounts as needed
  • Collection and submission of Fed Ex invoices, honorariums and lyft charges
  • Maintain general neatness/organization of main departmental waiting area
  • Perform domestic and international mailings requests, distribute mailing as needed

Candidate should be capable of problem-solving, answering questions, providing information and follow-up as necessary; assisting the Department of Biology Administrative Staff and additional tasks as assigned. The successful candidate is eligible for a hybrid work schedule after a successful training period.

The candidate should possess strong investigative skills with the ability to improve upon the existing and develop new duties and business processes. Excellent communication, organization, and customer service skills, along with the ability to work independently and in a team environment, are required.

Proficiency in Microsoft Office Suite is a must. Must be able to handle multiple priorities, monitor and meet overlapping deadlines. The successful candidate will foster a positive, professional, and efficient work style and provide any support needed to ensure smooth workflow in the department. They will be able to demonstrate initiative, collegiality, accuracy and promote a culture that is conducive to effective relationships among diverse team members. Communicate clearly, incorporate new facts and ideas into group processes and apply creative thinking to develop new solutions.

Minimum Education, Work Experience & Required Certifications:

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience. Required Certifications: None.

Employment with the University will require successful completion of background check(s) in accordance with University policies. Penn State does not sponsor or take over sponsorship of a staff employment Visa. Applicants must be authorized to work in the U.S.

Salary & Benefits:

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
