Project Coordinator

The Montage International (MI) Design & Development Services (DDS) team partners with owners, investors, and design consultants to deliver distinctive luxury hotels, resorts, and residences that reflect the MI design philosophies and guest-experience standards.

The Project Coordinator provides global, portfolio-wide support —focusing on internal resource development, and administrative duties that enable Project Directors to drive strategic priorities. This role develops and maintains the tools, data, and processes required for streamlining and optimizing the overall design development process.

As an integral member of the DDS team, the Project Coordinator supports project development through strong communication, effective collaboration and adherence to robust, consistent process. This position requires a motivated self-starter with professional integrity. While this position reports to the Senior Director, it also works closely with Project Directors, Managers and Department Leaders, requiring the ability to balance priorities and communicate effectively across functional lines.

This is an on-site role in the Montage Corporate headquarters in Irvine, CA, and provides dynamic opportunities for professional growth within an industry-leading luxury Hospitality Development Group.

Job duties include and are not limited to:

Internal Resources & Asset Management

  • Develop and refine internal tools such as process templates, drawing templates, and specification references to support consistent brand execution and team efficiency:
  • Support brand benchmarking studies including area-program analyses and construction/FF&E cost metrics to inform future design development and revenue optimization.
  • Build and maintain the DDS consultant/vendor database, capturing key experience and contact information to support RFP processes and Capital Expenditure projects.
  • Maintain an organized material library, ensuring current, well-cataloged product samples and implementing protocols for archiving control samples and drawing sets.
  • Serve as a vendor liaison, coordinating presentations and obtaining samples, quotes, and technical data as needed.

Global Project Tracking

  • Coordinate the execution and distribution of weekly and monthly project reports as prepared by Project Directors, distilling vital data into executive-level summaries on global development activity.
  • Collect, consolidate, and track key milestones across the full project portfolio, producing a rolling three-month milestone schedule overview for executive review.
  • Develop and maintain a comprehensive design travel calendar, tracking upcoming project milestones, site visits, and key partner meetings to identify potential conflicts and opportunities for more efficient coordination and scheduling.
  • Prepare program and project status data for cross-functional departments (e.g., Residential Sales, Procurement) to support strategic planning, budgeting and collateral development.

Administrative Project Support

  • Assist in maintaining and uploading project data to Asana, ensuring accurate tracking of milestones, design progress, and deliverables to support team reporting and cross-department visibility.
  • Capture and organize notes from key design meetings, ensuring decisions, action items, and follow-ups are clearly documented and shared with relevant stakeholders to maintain alignment and accountability.
  • Partner with directors to facilitate effective use of internal resources, processes, and tools available within the department, promoting alignment and efficiency across projects.

Education & Experience

  • Bachelor's degree in business administration and Operations, Project Management or related field.
  • Minimum of three years of experience in project coordination, development planning, operations and analytics or hospitality project management—or an equivalent combination of education and relevant experience. A background in Architecture & Design preferred but not required.
  • Demonstrated ability to manage multiple deadlines, synthesize complex data, and present concise executive-level summaries.
  • Ability to read and understand design programs and architectural plans, including knowledge pertaining to the design and construction of luxury hotels.

Required Skills/Abilities

The position requires a motivated self-starter with a high level of personal integrity and business ethics. Excellent organizational skills, with the ability to take large volumes of complex information and present it in a clear and concise manner appropriate for decision-making. Excellent listening, oral and written communication skills. Disciplined adherence to schedules and consistent performance on deliverables. Consistent attention to detail. Proficient in Microsoft Office applications, Bluebeam and Adobe. Experience with Asana or related project management/workflow platforms preferred. Architectural coordination applications such as AutoCAD and Plangrid would be an asset. Desire to learn new technologies as required.

Physical Requirements

Most work tasks are performed indoors. Must be able to sit at a desk for up to 6 hours per day. Walking and standing are often required for the rest of the working day. This may include traveling to and from meetings, as well as travelling to properties and construction sites for on-site installation support as required.

The pay scale for the Project Coordinator, Design & Development Services is $71,00.00 to $90,000.00. The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
