Position Overview: Embassy Suites Gulf Shores Beach Resort is seeking a detail-oriented and highly organized Sales Coordinator to join our pre-opening sales team. This role is vital in supporting the sales and marketing efforts of the hotel while serving as a key liaison between clients and the internal team. The Sales Coordinator plays an essential role in ensuring seamless communication and coordination for meetings, events, and group bookings, while also delivering exceptional service and support to clients.

Key Responsibilities:

  • Respond promptly and professionally to telephone and email inquiries related to meetings, events, and group bookings.
  • Provide accurate information to clients and bookers regarding hotel facilities, services, room types, rates, packages, and promotions.
  • Manage and execute group room blocks.
  • Serve as a consistent point of contact for clients, maintaining clear and timely communication throughout the planning process.
  • Coordinate with the Sales & Marketing team to assist in the preparation of proposals, contracts, and reports.
  • Collaborate with various hotel departments and outside vendors to ensure all aspects of events and group stays are executed flawlessly.
  • Maintain organized records, manage deadlines, and support the sales team with administrative duties as needed.
  • Additional responsibilities may be added or modified as needed; flexibility is essential.

Qualifications & Requirements:

  • Prior experience in hotel sales, events, or hospitality preferred.
  • Exceptional communication and interpersonal skills.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Proficient in Microsoft Office Suite; experience with Delphi.fdc or similar sales and catering systems strongly preferred.
  • Positive attitude, professional demeanor, and a strong team-oriented mindset.
