Executive Assistant

Pavago is seeking a dynamic executive assistant with strong marketing skills to join our client's team. This role requires someone capable of overseeing marketing and executive support tasks, with a significant focus on creativity, initiative, and strategic thinking.

Key responsibilities include:

  • Marketing & Visibility: Publish content consistently on LinkedIn, including posts, articles, and newsletters. Schedule, format, and optimize content to maximize reach and engagement. Research trending topics, competitor strategies, and industry insights to inspire content. Create lead magnets (PDFs, checklists, workbooks) that are polished and aligned with brand standards. Design branded graphics and images using Canva or AI tools. Edit raw video, add captions, and repurpose long-form content into short clips or Reels. Build and update landing pages, funnels, and opt-in forms in Go High Level. Repurpose content across multiple formats.
  • Sales & Prospecting: Research potential leads and ideal target prospects. Conduct outreach via LinkedIn and email using pre-approved messaging templates. Identify and apply for podcast guest spots, speaking engagements, and media opportunities. Draft and send follow-up emails after sales calls. Maintain and update the CRM in Go High Level, including tags, notes, and pipeline tracking. Book and confirm sales calls directly on the calendar.
  • Operations & Administration: Manage and organize the inbox: flag priority messages, draft responses, and remove clutter. Manage the calendar by scheduling meetings, blocking focus time, and preparing for events. Track and ensure deadlines are met for content, launches, and applications. Maintain and update a master content calendar. Coordinate tasks with external contractors or vendors.
  • Analytics & Reporting: Pull weekly analytics for LinkedIn. Track email open and click rates in Go High Level. Prepare a simple weekly dashboard summarizing performance. Provide recommendations based on data.
  • Proactive Growth & Strategy: Identify collaboration opportunities such as co-hosting lives or cross-promotions. Monitor competitor activity and market trends for strategic insights. Suggest new ideas for visibility, lead generation, and client engagement. Maintain an organized content library by theme for easy repurposing.

Required experience & skills include:

  • Minimum 4-5 years experience in an executive assistant role with significant marketing responsibilities.
  • Proficient with Go High Level and comfortable navigating LinkedIn Sales Navigator. Experience with Typeform or Jotform for surveys is a plus.
  • Demonstrated ability to propose and implement innovative ideas with confidence. Independence is crucial.
  • Experience with AI tools that enhance productivity and streamline marketing efforts.
  • Strong verbal and written communication skills with a professional demeanor in digital content.

A typical day includes managing a detailed schedule and coordinating meetings for your executive. Work on marketing campaigns focused on elevating brand presence, particularly via LinkedIn. Regular tasks include organizing the content library for content reuse, coordinating lead generation efforts via Sales Navigator, and engaging in collaborative brainstorming sessions. Throughout the week, analyze and report on campaign metrics and user engagement trends through analytics tools integrated with GoHighLevel.
