We are seeking a detail-oriented and organized Bookkeeper to join our team. The successful candidate will be responsible for managing bank reconciliations, providing bookkeeping support, and ensuring accurate financial reporting for our clients. This role requires strong analytical skills, attention to detail, and the ability to work collaboratively with team members. This is a newly defined role evolving from an individual contributor "Approver" position into a people leadership role, reflecting increased responsibilities in team performance management, audit readiness, and cross-functional collaboration.

Responsibilities:

  • Regularly monitor bank accounts using the Bank Reconciliation module to identify unrecorded transactions.
  • Collaborate with the assigned Payables Associate to ensure timely recording of transactions, facilitating a smooth month-end bank reconciliation process.
  • Prepare and upload client Bill Pay Packets for PNW clients, including cover sheets, income statements, cash flow reports, and invoice copies as requested.
  • Complete monthly bank reconciliation processes as needed to support Reporting Associates during absences (PTO, sick days, etc.).

Bookkeeping Support / Internal Review:

  • Download outside bank account activity and upload statements to the designated SPO. Enter all outside bank activity into AGL for approximately 100 bank accounts across all clients. Monitor the Incoming Mail Folder for outside bank account statements and transfer them to SPO.
  • Download payroll reports from assigned systems (Gusto, ADP, Paychex, etc.) and ensure accurate data entry.
  • Monitor Positive Pay Exceptions and communicate necessary information to the team.
  • Track unrecorded deposits in AGL and provide daily reminders to the team.
  • Manage the weekly Outstanding Check list, addressing items as necessary, including vendor follow-up.
  • Conduct 1099 reviews by running reports in AGL to ensure proper coding and flagging for annual 1099 preparation.
  • Provide administrative support to Reporting Managers as requested.
  • Attend Reporting Team meetings and provide meeting summary to track action items.

Requirements:

  • Proven experience in bookkeeping or accounting, preferably in a similar role.
  • Strong understanding of bank reconciliation processes.
  • Excellent organizational skills and attention to detail.
  • Proficiency in accounting software and payroll systems (preferred).
