Onboarding Support Specialist
The Onboarding Support Specialist serves as a critical, high-touch resource for our skilled nursing facilities, senior living communities, and hospice services. This role ensures a seamless, compliant, and efficient hiring experience by acting as the primary point of contact for background check management, I-9 compliance, and urgent case escalations. Additionally, this position plays a pivotal role in supporting the Onboarding and Acquisition team during the integration of newly acquired buildings into the PACS system.
Essential Duties
- Serve as the main point of contact for facility HR-Locals and leaders regarding background check statuses, results, and processing delays.
- Monitor, prioritize, and fast-track "critical" or pending background checks that require immediate turnaround to prevent staffing shortages.
- Partner closely with background check vendors to troubleshoot system glitches, clarify ambiguous results, and expedite delayed reports.
- Provide real-time guidance to facility hiring managers on Form I-9 completion, acceptable documents, and remote verification protocols.
- Monitor E-Verify case statuses, assist facilities with Tentative Non-Confirmations (TNCs), and conduct routine internal audits to ensure 100% compliance with federal regulations.
- Partner with the Onboarding and Acquisition team to transition newly acquired buildings and employee rosters smoothly into the PACS system.
- Help train newly acquired facility staff on PACS onboarding workflows, background check portals, and I-9 compliance standards.
- Assist in auditing and entering historical or transitional employee data during the critical "Go-Live" phase of an acquisition.
- Assist HR Operations teams with projects as assigned
Qualification
Education and/or Experience
- 2+ years of experience in HR support is a plus
- Previous experience with Form I-9 & E-Verify process is a plus
- Intermediate to advanced proficiency in Microsoft Office Suite and video conferencing tools for remote training.
- Strong verbal and written communication skills, with the ability to explain complex compliance rules or system workflows clearly to busy frontline facility staff.

Pay Range: $19.00 - $21.00 hourly
Location: This is an in-person role located at PACS Downtown Campus in Salt Lake City, Utah
Physical Demands
- Primarily sitting at a desk or workstation for extended periods (up to 8 hours per day) while reviewing compliance documents and entering data into PACS systems.
- Frequent and repetitive use of hands, fingers, and wrists for typing, data entry, utilizing a computer mouse, and operating standard office equipment.
- Close visual acuity required for extended screen time to read background check results, verify identification documents (Form I-9), audit employee files, and analyze data spreadsheets.
- Clear verbal communication and active hearing are required to answer high-volume phone inquiries, conduct virtual training sessions for newly acquired buildings, and collaborate with facility administrators.
- Occasional lifting, carrying, pushing, or pulling of light office materials (e.g., files, manuals, or training documents) weighing up to 15 pounds.
