The Base Scheduling Services Coordinator is responsible for managing the scheduling of all transient ground unit activities utilizing installation facilities and equipment at Volk Field ANGB in Orange, Wisconsin. This position serves as the primary point of contact for visiting units, oversees the long-range training calendar, and ensures seamless coordination between internal and external stakeholders. The ideal candidate is highly organized, collaborative, and capable of managing complex scheduling requirements in a dynamic environment.
Serve as the primary Point of Contact (POC) for visiting unit training and event requests.
Develop, implement, and maintain Volk Field's visiting unit scheduling program and three-year strategic apportionment training calendar.
Manage and update the Microsoft TEAMS/SharePoint site and all planning/scheduling software, requiring advanced proficiency.
Lead the multifunctional scheduling team by facilitating weekly meetings and coordinating with visiting units.
Maintain scheduling Standard Operating Procedures (SOPs), POC listings, training request timelines, and the Volk Field visiting unit guidebook.
Identify and resolve scheduling conflicts, propose alternative solutions, and oversee rescheduling efforts.
Administer and track training-related agreements and documentation, including Memorandums of Understanding (MOUs) and Memorandums of Agreement (MOAs).
Serve as liaison between visiting units, Volk Field Finance and Contracting, and local Emergency Management.
Consolidate reports, lessons learned, and recommendations for continuous process improvement.
U.S. Citizenship is required.
Must be able to pass a background investigation.
Must be able to obtain and maintain a Secret Security Clearance.
Proven experience in administrative roles with responsibility for managing complex schedules and coordinating events.
Strong proficiency in Microsoft TEAMS, SharePoint, and other planning/scheduling tools.
Excellent organizational, communication, and problem-solving skills.
Demonstrated ability to collaborate with diverse stakeholders.
Associate's degree OR equivalent experience in a high-level administrative role.
