Service Administrator

The Service Administrator is responsible for communicating with customers to ensure there is a clear understanding of the needs and expectations for each installation, repair, or service project. Additionally, the service advisor works closely with the Service Manager, Service Administrator, and Service Foreman in creating documentation in SAP and coordinating scheduling of product and available labor.

Responsibilities:

  • Greet customers in a timely, friendly manner.
  • Gather information relating to customer service needs and expectations.
  • Write up customer's equipment request accurately and clearly on a service input card, verify customer information, and obtain customer signature.
  • Perform vehicle in-coming inspection to ensure vehicle and equipment information is accurate in relation to the repair order.
  • Establish "proposed time" based on shop workflow and communication with shop foreman.
  • Establish customer's method of payment. Obtain credit approval, if necessary.
  • Create repair order in the business system, create repair order file and secure service input card with customer signatures in standardized repair order jacket.
  • Ensure all vehicles are parked in assigned areas. Make sure they are locked and all keys are marked and stored using standardized key fob and keeper system.
  • Check on progress of repair or install throughout the day. Contact customers regarding any changes in the estimate or promised time, explain cost and time requirements in detail and get authorization before any additional repairs are performed.
  • Handle telephone inquiries regarding inbound work and work in process.
  • Review repair orders to ensure work is completed and additional work and authorization is noted.
  • Review all technician comments to ensure they are accurate and appropriate.
  • Review parts on operations to ensure charges are correct (based on level of experience, foremen may need to review).
  • Enter or adjust all technician time in the business system in accordance with foreman notation on repair orders.
  • Ensure machine charges, oil, gear oil, other supplies, and sublet repairs are properly billed and documented on repair orders.
  • Print customer review of repair orders.
  • Obtain customer purchase orders when necessary.
  • Close repair order in business system.
  • Contact customers and advise repairs are complete. Explain completed work and all charges to customers.
  • Perform customer walk-around demonstrating equipment operation and ensuring all work is completed to customer satisfaction.
  • Advise customers on the care and manufacturer's preventive maintenance specification for each type of equipment installed.

Basic Qualifications:

  • High School diploma or general education degree (GED).
  • Minimum of 2 years experience as technician or service department leadership preferred.
  • Valid Driver's License and good driving record.
