Customer Service Assistant 1

Job Description

Customer Service

  • Respond to customer requests via email, phone, or in person for consolidated supply needs, secure shred bin requests, chair replacements or repairs, mail and package delivery inquiries.
  • Provides customer service with loading/unloading of equipment or business materials.
  • Provides customer support with special events (help with room set up, provide trash cans).
  • Provides customer support for agency paper supply needs. Review on-hand counts and build-to counts for paper delivery to multiple copiers throughout the building; oversees paper supply and reports supply needs to supervisor.
  • Provides customer support in ADA process by delivering standing desks for installation.
  • Provides customer service window coverage for Mail Center and consolidated supply customers.
  • Oversees and restocks free FedEx or UPS shipping supplies for internal customers; reports supply needs to supervisor for ordering.
  • Uses carts and/or pallet jack to relocate boxes, materials, or equipment in response to internal customers' requests.
  • Provides customer support with outgoing FedEx or UPS package needs; delivers packages to shipper store when not picked up by vendor.

Mail Center

  • Collects outgoing mail from floors and drop box; reviews for outgoing mail code, counts and prepares for delivery to Rhodes Tower Mail Center for postage processing.
  • Operates State vehicle to travel to Rhodes Tower and Post Office location for mail pickup and drop-off.
  • Operates State vehicle for other deliveries and business-related errands around Columbus.
  • Receives incoming mail, counts, sorts, delivers to floors to support multiple agencies within the building.
  • Receives incoming packages from multiple vendors, uses Pitney Bowes package tracking device to scan and deliver packages to multiple agencies within the building.
  • Oversees and restocks free USPS shipping supplies for internal customers; reports supply needs to supervisor for ordering.
  • Provides customer support with large outgoing USPS shipments.
  • Oversees Mail Center van needs (e.g., taking for regular maintenance or repairs, refueling, cleaning, and reporting concerns to supervisor).

Reporting

  • Provides excel reports to supervisor detailing incoming and outgoing mail delivery work, paper delivery work, and secure shred bin counts.

Other

  • Assists with other projects as assigned by supervisor including but not limited to employee moves, surplus ship outs, facilities project preparation or support.

Qualifications

3 mos. trg. or 3 mos. exp. in office practices & procedures; 1 course or 3 mos. exp. in public relations or customer service to include techniques for dealing with difficult people; 1 course or 3 mos. exp. in typing, keyboarding, data entry or word processing; 1 course or 3 mos. exp. in operation of personal computer. -Or equivalent of Minimum Qualifications for Employment noted above. Note: in the telecommunications section, within the Ohio Department of Public Safety, employees will automatically be reassigned to the Customer Services Assistant 2, 64432 classification after serving 6 months as a Customer Service Assistant 1, 64431.
