Operations Senior Associate

Nova Pioneer is looking for a superstar Operations Senior Associate to ensure the smooth running of everyday processes and provide logistical and administrative support to our Ormonde Secondary. The Operations Senior Associate will report to the Head of School / Associate Dean of Operations. Your responsibilities include:

In partnership with the School Leader and the Dean of Operations, the Operations Senior Associate will be supported in a broad range of operational needs, including but not limited to:

  • Facilities Management
    • Oversee the maintenance and repair of all school buildings, classrooms, and grounds.
    • Manage cleaning, landscaping, and waste management services to maintain a safe and attractive campus.
    • Implement preventative maintenance schedules to reduce downtime and extend the lifespan of equipment and infrastructure.
    • Ensure compliance with health, safety, and environmental standards across all facilities.
    • Oversee security systems, access control, and emergency response procedures.
    • Manage contractors and service providers, ensuring quality and cost-effectiveness.
    • Monitor the condition of facilities and recommend improvements or upgrades.
    • Support the leadership team in managing the facilities budget, including procurement of supplies and services.
  • Operations Management
    • Coordinate all non-academic operations including facilities, transport, security, catering, and administrative support.
    • Develop and implement operational policies and procedures to ensure efficiency and compliance.
    • Supervise and support administrative and support staff in daily operations.
    • Support the leadership team in managing budgets for operations, facilities, and procurement, ensuring responsible resource use.
    • Oversee procurement and inventory of school supplies and equipment.
    • Coordinate logistics for school events, extracurricular activities, and projects requiring facilities and operational support.
    • Managing aftercare logistics, including recording and tracking of student attendance, communicating charges with Finance.
    • Support the school leader and leadership team in planning and implementing operational strategies.
    • Oversee emergency preparedness and risk management for the school community.
    • Support the IT team in the running and managing of the school's networks, servers, hardware, software, and user support.
    • Recording, monitoring, and reporting on staff attendance. This includes maintaining accurate daily attendance records, managing leave requests and approvals, and following up on absences to ensure proper documentation.

Required qualifications:

  • You have a minimum of 3 years working experience in an Operations/Facilities or similar role.
  • You have a relevant higher education qualification.
  • You have your own reliable vehicle/transport.

  • You are a thoughtful planner with ability to multi-task, take initiative, prioritize effectively, and deliver for multiple stakeholders according to tight deadlines.
