The Access Services Manager is responsible for overseeing the design, maintenance, and optimization of provider schedules across the health system to ensure timely and equitable access to care. This role plays a critical part in balancing operational efficiency, provider availability, patient satisfaction, and appointment access standards. The Manager collaborates closely with clinical leadership, practice managers, and centralized scheduling teams to implement best practices and data-driven improvements in access operations.
Licensure or other certifications:
Educational Requirements: Bachelors Degree in Healthcare Administration, Business, or related field
Minimum Experience: Minimum of 3-5 years experience in healthcare access, scheduling, or operations that includes two (2) years in leadership or supervisor role.

Preferred Experience: Experience managing provider schedules in a multi-specialty or health system environment strongly preferred. Leadership or supervisory experience
Other:
Strong understanding of healthcare operations, scheduling workflows, and access management principles.
Proficiency with EHR systems (Epic, Cadence, Qgenda).
Excellent communication, problem-solving, and organizational skills.
Ability to work collaboratively with a wide range of stakeholders, including physicians and executives.
Analytical mindset with the ability to interpret data and drive performance improvement.
Design, build, and maintain provider schedules in alignment with clinical goals, patient demand, and specialty specific access standards.
Work collaboratively with department leaders and providers to ensure templates reflect accurate availability, time away, and procedural blocks.
Conduct ongoing schedule utilization, template accuracy, and appointment lead time analysis.
Adjust provider templates as needed to optimize access, reduce patient wait times, and ensure compliance with organizational access metrics.
Monitor access metrics (3rd next available, lead time, no-show rate, utilization) and identify trends and areas that need attention.
Serve as key stakeholder in projects related to provider onboarding, clinic expansion, and access management.
Act as the primary point of contact for providers and Practice Managers regarding scheduling, templates, and access.
Maintain balance between provider preference and organizational goals.
Lead a team of scheduling coordinators that build and maintain templates as indicated.
Ensure compliance with scheduling guidelines, and access policies.
Utilize Epic and Qgenda to build and maintain provider templates.
Ensure appropriate configuration of visit types, scheduling rules, and resources management.
