Receptionist Position

The Receptionist will report directly to the Service Desk Supervisor. Staff will be responsible for the successful delivery and development of the everyday operations of the service desk and support of the administrative department. The ability to establish and maintain a harmonious relationship with the other staff, general public, volunteers; but most importantly, the membership of this association is essential. Staff must obtain a thorough understanding of all YMCA policies and programs, and must be able to explain these policies and programs to new and potential members upon request.

Responsibilities: The Receptionist must demonstrate a personal commitment to the mission of the YMCA. Staff must set the example for others to follow. Good communication skills (written and verbal) are essential, along with a demonstrated ability to work effectively with people as part of a team. This position requires good organizational skills, strong human relation skills, good understanding of business procedures, ability to adapt to a changing environment, and knowledge of the YMCA operational procedures and programs. Staff members must be able to sell the programs and services of the YMCA, have a working knowledge of operating computers, dress professionally to fit the task, be friendly, and exhibit good health habits. The ability to establish and maintain harmonious relationships with staff, volunteers, members and guests is essential.

Principal Activities:

  • Work closely with the Service Desk Supervisor to meet the needs of all members and guests.
  • Greets all members and guests in a pleasant manner.
  • Answers telephone in a pleasant manner.
  • Directs all calls to the proper departments or directors.
  • Provides accurate and complete information on membership services, and programs.
  • Sells memberships and assists new members with application completion.
  • Receives and receipts money for programs fees, and membership dues.
  • Properly records all transactions.
  • Handles all related clerical work.
  • Keeps reception area orderly and attractive.
  • Assists Service Desk Supervisor in the process of developing grants, contracted services, volunteerism, collaborative efforts, and new programs and links to services to promote overall YMCA initiatives.
  • Attends meetings when requested.
  • Participates in fundraising events.
  • Participates in delivery of services to members to ensure excellence.
  • Creates a positive environment where everyone feels welcome, and to encourage and motivate others to become more involved in the YMCA.

Education and Experience Requirements:

  • Computer knowledge and skills
  • General mathematical skills
  • Some clerical skills (Typing and Filing)
  • Exceptional social skills and telephone etiquette
  • Neat handwriting
  • The ability to function well on their own with limited supervision.

Physical Requirements: Standing for long periods of time up to 8 hours per shift, lifting and carrying up to 50 lbs., bending, stooping, time outdoors, sitting and desk work up to 8 hours per shift, working with chemicals.
