Event Operations Role
As part of Event Operations, you will directly support the Physical Channels team in the planning and delivery of global events. This role partners closely with Event Managers and related teams to provide hands-on operational support that enables successful event execution. Event Operations functions as a shared service across Physical Channels, supporting multiple event teams simultaneously. The role focuses on event enablement through tools, budgets, vendors, and operational coordination, helping remove friction so Event Managers can stay focused on audience experience, content, and outcomes. This includes supporting event technology, smaller event-related deliverables, and day-to-day operational needs across the event lifecycle.
This role acts as an operational extension of the Event Management team, stepping in where needed to support execution, tools, and processes across multiple events.
Your Responsibilities
- Event Budget & Spend Support: Support Event Managers with budget planning, forecasting, and tracking of actuals across events and programs, ensuring accurate visibility throughout the event lifecycle.
- Event Procurement & PO Support: Actively support Event Managers with purchase order creation, updates, and issue resolution tied to event delivery, working closely with Procurement to ensure timelines and documentation stay on track.
- Invoice Support & Issue Resolution: Support invoice processing for event-related spend by validating information, resolving discrepancies, and coordinating with vendors, Procurement, and Finance to ensure timely and accurate payment.
- Vendor & Event Supplier Administration: Support vendor onboarding, extensions, renewals, and required documentation; act as a central operational contact for event-related vendor and process questions.
- Event Tools & Systems Support: Support the Event team in the use of event technology and tools (e.g., registration platforms, meeting tools, reporting dashboards), including basic setup guidance, troubleshooting, and coordination with tool owners.
- Event Deliverables & Execution Support: Support smaller event-related deliverables such as registrations, attendee data, basic reporting, vendor coordination, and operational checklists to help ensure smooth execution across multiple events.
- Process, Governance & Compliance Support: Provide practical guidance to Event Managers and teams on finance, procurement, and compliance processes, helping ensure event activities align with internal policies and audit requirements.
- Documentation, Templates & Trackers: Create, maintain, and continuously improve event-related templates, trackers, and shared documentation to support consistent and efficient ways of working across the Event team.
Your Skills and Experience
- Event or Program Support Experience: Experience supporting events, marketing programs, or program-based teams in an operational or coordination role.
- Operational & Financial Support Experience: Proven experience supporting budgets, procurement, invoicing, and financial processes in a structured corporate environment, ideally tied to event or marketing activity.
- Event Tools & Systems Familiarity: Comfort working with event-related tools, platforms, or systems, and supporting others in their day-to-day use.
