Lead Medical Support Assistant

The Lead Medical Support Assistant (LMSA) performs all of the duties of the GS-6 Advanced Medical Support Assistant. The LMSA accesses the patient's computerized medical records system (CPRS) to review and retrieve medical information including but not limited to laboratory reports, allergy information, past medical history, and other pertinent medical information needed to schedule patient's imaging appointment.

Responsibilities Major duties and responsibilities include but are not limited to the following:

  • Access the patient's computerized medical records system (CPRS) to review and retrieve medical information including but not limited to laboratory reports, allergy information, past medical history, and other pertinent medical information needed to schedule patient's imaging appointment.
  • Prepares required documents, including electronic, and to determine if the requested imaging procedure requires protocol, if so, notifies and submits required documents to the radiologist to protocol the request.
  • Determines the patient's pre-appointment requirements and restrictions based upon the protocol.
  • Communicates directly with the patient to inform of appropriate restrictions and instructions required of the procedure prior to the patient's scheduled appointment.
  • Contacts the referring provider to request an order for pre-medication, if required, and previously requested.
  • Assists the GS-6 MSAs in performing their tasks in the event the supervisor is unavailable.
  • Ensures compliance with all procedural policies and directives related to assignments in the Radiology Service.
  • Assists the supervisor and Advanced Medical Support Assistant to implement changes within the Radiology Service when new directives are implemented by higher-level echelon.
  • Assists with investigating the impact of new directives, guidelines, or memorandums, suggesting what changes need to be implemented to assure compliance.
  • Distributes and balances daily workload among employees in accordance with established workflow and rotation schedule.
  • Brings issues of concerns, outside of their scope of influence to the attention of the Supervisory Medical Support Assistant.
  • Ensures timely accomplishment of the assigned workload.
  • Gives on-the-job training to new employees in accordance with established procedures and practices.
  • Refers to supervisor questions or matters not covered by performance standards.
  • Reports any problems that make it difficult for employees to meet performance standards and competencies.
  • Provide suggestions and feedback to supervisor concerning assignments, training needs, recognition of outstanding contributions, and other personnel needs.
  • Instructs employees on changes in work procedures.

Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. One year above high school; OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Certification. None required. Foreign Education. To be creditable, education completed outside the U.S. must have been submitted to a private organization that specializes in the interpretation of foreign educational credentials and such education must have been deemed at least equivalent to that gained in conventional U.S. programs. Physical Requirements. See VA Directive and Handbook 5019. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.

Grade Determinations: GS-7 Experience One year of experience equivalent to the GS-6 grade level. Candidates must demonstrate all of the Knowledge, Skills, and Abilities (KSAs) below:

  • Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
  • Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
  • Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
  • Skill in communicating with individuals to obtain the desired effect [and coordinating with a variety of interdisciplinary care team staff.
  • Ability to provide staff development and training.
  • Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.

Assignment The Lead MSA is responsible for the coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit. The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings. The Lead assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources.

Preferred Experience: At least 1 year of administrative experience in healthcare.

The full performance level of this vacancy is GS-7. The actual grade at which an applicant may be selected for this vacancy is GS-7.

Physical Requirements: The work is mostly sedentary. It typically requires sitting with sustained periods of concentration. There will be some walking, standing, bending, and carrying of relatively light objects. The position may also require stooping, reaching, lifting, pulling, and other moderate exertion or strain. Incumbent may occasionally have to walk some distance to a meeting.

Education There is no education substitution at this grade level.

Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
