Project Coordinator – Flagging Services

Position Overview
As a Project Coordinator, you will play a key role in managing flagging, dispatch, and validation processes. You'll work closely with internal teams, vendors, and external partners to ensure projects are dispatched seamlessly, invoices are accurate, and compliance standards are met. This role is perfect for someone who enjoys variety, problem-solving, and being the go-to person who keeps everything on track.
What You'll Do
- Manage and maintain the flagging portal (Smartsheet) to keep projects organized.
- Partner with flagging vendors to ensure timely and accurate invoicing.
- Provide support to field teams using flagging portals.
- Validate invoices from vendors for accuracy.
- Coordinate requests with law enforcement when needed.
- Build and maintain vendor relationships, including participation in monthly calls and onboarding support.
- Review quarterly vendor statements to track performance.
- Assist the Accounts Payable team with invoice navigation.
- Collaborate with Project Management and Field teams to ensure all jobs are properly created and dispatched through the right platforms.

What We're Looking For
- Associate's degree or equivalent experience.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Excellent organizational skills with the ability to manage multiple priorities.
- Strong interpersonal and relationship-building skills with both internal and external partners.
- Excellent written and verbal communication abilities.
- High levels of discretion and professionalism when handling sensitive information.
- A collaborative team player who can also work independently when needed.
- Client-focused mindset with the ability to meet deadlines consistently.
Work Schedule
- Full-time, Monday through Friday, 8:00 a.m. – 4:30 p.m.
Additional Details
- Occasional travel may be required for off-site meetings or events.
- Regular desk/computer work required, with frequent communication and collaboration across teams.
