Administrative Support Associate

Job Title: Administrative Support Associate Location: Schenectady Hours: Monday–Friday, 8:00 AM – 5:00 PM Pay: $20-$25 Hourly

Position Summary: We are seeking a highly detail-oriented and tech-savvy Administrative Support Associate to join our team. The ideal candidate will demonstrate advanced proficiency in Microsoft Excel (including pivot tables, VLOOKUP, and spreadsheet creation) and have strong experience working with CRM platforms such as HubSpot or similar systems. This role requires someone who is comfortable learning new technologies quickly, can thrive in a fast-paced environment, and has excellent interpersonal skills.

Key Responsibilities:

  • Create, manage, and maintain advanced Excel spreadsheets, including pivot tables, VLOOKUP, and data analysis functions.
  • Organize, update, and track information across CRM platforms (HubSpot or comparable systems).
  • Generate and interpret reports to support business decisions.
  • Provide administrative and operational support to the team, ensuring accurate documentation and process efficiency.
  • Communicate effectively with internal teams and external contacts; must be confident, approachable, and not shy.
  • Support project coordination and handle multiple tasks with strong attention to detail.
  • Proactively identify process improvements and leverage technology to streamline workflows.

Qualifications:

  • High proficiency in MS Excel is required — must be able to build, manage, and analyze advanced spreadsheets independently.
  • Prior experience with CRM systems, preferably HubSpot (or similar such as Salesforce, Zoho, etc.).
  • Strong technical aptitude; able to learn and adapt to new software and digital tools quickly.
  • Excellent interpersonal and communication skills; must be comfortable interacting with different teams and stakeholders.
  • Highly organized with the ability to manage priorities and deadlines under pressure.
  • Previous administrative or operations support experience preferred.
