Receptionist Activities

Maintain security and safety at the reception area by following procedures, providing visitor badges. Directing visitors by giving instructions in accordance with regulations

Generally provide assistance to both guests and colleagues who visit the Reception Desk

Book Conference rooms when requested

Answering the telephone, take messages, connect phone calls within the company with abroad and reply to questions in accordance with general instructions

Receive courier and also prepare envelopes to be send out with couriers (check Invoices received from the courier services Vs Account Department info for the settlement of payments)

Prepare mail that has to go out and distribute the mail that comes in accordingly

Raise Purchase Orders for the maintenance of the building e.g. the Maintenance of the Elevators, the Security Systems of the Building, the cleaning supplies, the general janitor/maintenance for the cleaning of the building

Raise Purchase Orders every month for facilities/CRE

Register new Suppliers in the ERP system when needed

At the end of every year arrange for the renewal of all the Contracts that Suppliers have with the company

Organizing/coordinating the Fire Drill Training and the Medical Training (every year and every two years respectively)

Call suppliers and coordinate the collection of the cheques issued on a weekly/monthly basis. Coordinate the mailing of cheques where needed

Filling of payment vouchers, invoices and receipts

Extra Work

General office work that is asked from other departments

Processing visa issuance for employees and guests who are applying to visit our office from overseas

Processing visa issuance for employees that work in our office and apply to travel abroad

Distribute any cheques to employees (when needed)

Prepare shipments to be sent overseas with the courier and collect shipments (when needed)

Send AP Invoices for NCR Cyprus for daily payments (under accounting work)

Collect the Health Insurance claims to be deliver by the office messenger every 2 weeks to our insurance provider
