Courier, Print and Mail Services Coordinator

The Courier, Print and Mail Services Coordinator supports the supervisor in managing all aspects of the Courier, Print and Mail Services for the entire MyMichigan Health System. Key duties of this role include Forms Management for all print forms across the system. This role must manage the needs of the customer, the capability of the equipment, and the demand from across the system to ensure internal print services needs are met. The coordinator will collaborate with departments for form updates, additions, as well as provide final edits for approval. The coordinator must have a working knowledge of multiple software packages to ensure success. The coordinator will schedule, train, dispatch and support the courier team in support of the lab services for MyMichigan. The coordinator will control all aspects of mailroom activity including handling of incoming and outgoing mail, postage application, and coordination of mode of freight to optimize delivery as well as cost.

Responsibilities

(60%)* De Facto leader of the system forms committee working with Directors of MPG and HIM and others related to form creation, form inventory processes, and approvals. Serves as a final edit for HIM and other forms prior to submission into the forms catalog. Maintains the inventory of all non-marketing forms for the system. Acts in a collaborative role with department managers related to form updates and additions beyond the forms committee. Maintains a seat on the OnBase team (for EPIC) as an advisor to determine what forms and where they should be scanned for a patient's chart. Advises on barcodes, notes and types. Leads the operation of electronic publishing systems including all phases of publishing from electronic file input, editing, printing, finishing, and updating of files. Serves in a troubleshooter role for all forms including Marketing forms.

(20%)* Supports the supervisor in creating and maintaining the courier schedule ensuring each route is covered daily. Responsible for dispatching couriers, identifying coverage, maintaining stat (time sensitive) coverage on a 24/7/365 schedule. Ensure all supplies and specimens are handled properly through training of staff, updated regulations and spot checks in support of the supervisor.

(20%)* Performs mailroom activities including running postage meter and electronic system for label creation. Must maintain and expand knowledge and appropriate use of various shipping methods to meet customers' needs at the best possible cost. Must be aware and retain knowledge of staff/location changes across the health system.

Other Duties and Responsibilities

Operation of electronic publishing systems includes all phases of publishing from electronic file input, editing, and printing to finishing, updating manager files, troubleshooting and quality control for the MyMichigan Health System including production of all Marketing materials.

Manage Inventory for MPG, EMR and General forms with Directors and Managers of departments across the System.

Work with Directors and Managers to manage Form updates ensuring compliance with regulations and system requirements.

Notify requesting departments of orders available for pick-up.

Assist in inventory control by maintaining the Copy Center inventory in a clean and orderly manner including specific humidity control needs of paper inventories.

Order Copy Center supplies in economic order quantities in order to control cost.

Prepare orders for delivery to appropriate destinations.

Provide leadership and supervision of Copy / Mailroom /Courier staff in absence of Courier and Copy / Mail Center Supervisor.

Assists with interviews of candidates to fill open courier positions.

Receive, sort, and deliver all incoming mail & packages according to assigned floors and within established time frames. Wrap, seal, weigh, affix postage and dispatch all outgoing mail/packages in accordance with postal regulations.

Prepare special outgoing inter-office pouches sent to client affiliates as scheduled (if applicable).

Package and process outgoing overnight items, i.e. Federal Express, UPS, etc., to meet client and vendor deadlines. Deliver incoming overnight packages within established time frames.

Log outgoing and incoming items as required and review for accuracy/completeness.

Provides route optimization planning for courier staff under the direction of Supervisor.

Identifies coverage and provides backup to drivers when needed for stat runs.

Certifications and Licensures

Required Education

High school diploma or GED is required

Other Information

Experience, Training and Skills:

Driving record that allows for driver insurability by MyMichigan Health Insurance provider.

Excellent interpersonal skills.

Ability to problem solve/prioritize.

General knowledge of vehicle maintenance issues.

Mandatory tuberculosis (TB) testing must be done as required.

Mandatory Occupational Safety and Health Administration (OSHA) training must also be completed annually according to the Exposure Control Plan.

This position may require background fingerprinting check in accordance with Michigan Public Acts 26, 27, 28, and 29.

Physical/Mental Requirements and Typical Working Conditions:

Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.

Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.

Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.

Overall vision and hearing is necessary with or without assisted device(s).

Frequently required to sit/stand/walk for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching.

Some exposure to blood borne pathogens and other potentially infectious material. Must follow MyMichigan Health bloodborne pathogen and TB testing as required.

Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.

Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.

Physical Demand Level: Light. Must be able to occasionally (0-33% of the workday) lift or carry 11-20 lbs., frequently (34-66% of the workday) 10 lbs. and or Walk/Stand/Push/Pull of Arm/Leg controls.
