Role Summary: We are seeking a detail-oriented and collaborative Senior Operations Coordinator to join our team. This role is essential in supporting participant services and internal operations through accurate transaction processing, document validation, and administrative support. The ideal candidate will be comfortable working across teams and systems to ensure compliance, mitigate risk, and deliver exceptional service to our customers.

Responsibilities:

  • Process participant transactions including withdrawals, installment payments, RMDs, and hardship distributions.
  • Manage rejected or misrouted transactions (e.g., EFT rejections, NOC lists) and coordinate payment reissues.
  • Conduct quality control on high-value transactions to ensure accuracy and reduce operational risk.
  • Research and correct tax forms such as 1099-Rs.
  • Validate participant documents (e.g., address changes, EFT updates, beneficiary designations, tax forms).
  • Submit approved documents to processing units and ensure compliance with internal procedures.
  • Upload forms to Salesforce, which are automatically swept to OnBase.
  • Generate and send correspondence to participants or Plan Sponsors regarding required actions.
  • Review and close tasks completed by FIS and document all actions in workflow systems.
  • Investigate participant-related issues by reviewing records and tax documentation.
  • Support audit requests by gathering and redacting sensitive retirement-related documents.
  • Assist in preparing Retirement Kits and mailing requested forms.
  • Generate reports from Salesforce and other systems for management.
  • Perform additional duties as assigned.
  • Address corrections using Accurint and Equifax reports.
  • Update beneficiary information, including Trusts.
  • Review legal documents such as QDROs, POAs, and guardianship inquiries.
  • Handle Social Security corrections and income verification requests.

Required Qualifications:

  • Experience in financial services, retirement plans, or operations preferred.
  • Strong attention to detail and ability to manage sensitive data.
  • Proficiency in Salesforce, OnBase, and workflow systems.
  • Excellent communication and organizational skills.
  • Ability to work independently and collaboratively across teams.

The salary range below describes the minimum to maximum base salary range for this role. The role is also eligible for quarterly commissions (uncapped), whereby total compensation may exceed this range depending on individual and/or company performance.

Base Salary Range:

New York, NY: $41,600 - $62,400

Boca Raton, FL: $35,900 - $53,900
