Our opportunity
As Manager, Fund Operations, you will be a key contributor to the facilitation and enablement of the Mirvac funds management platform to drive consistency, efficiency, automation and operational best practice. With a large focus on co-ordinating committee reporting, compliance, governance, maintaining policies and procedures, systems and day to day operational matters, this role will require disciplined focus and prioritisation of tasks and projects. This role requires a high level of internal stakeholder management, including the ability to communicate and collaborate effectively with colleagues to achieve timely and accurate delivery of outcomes.
Your responsibilities will include:
- Co-ordinate, compile, review and dispatch quarterly joint venture committee meetings and papers, complete minutes and action items and ensure efficient and timely joint venture reporting.
- Co-ordinate and dispatch quarterly other Funds Management related committee and Board papers, complete minutes and action items.
- Support the Wholesale Investor relations team with the registry function by reviewing requests, correspondence and other documents to and from the external registry and conducting vendor management activities.
- Maintain and review various registers, structure diagrams, edit and refine presentations and participate in quarterly review programs.
- Assist to co-ordinate the onboarding of new funds including the administrative set up, liaise with other stakeholders across the business through transition meetings, prepare business briefings, manage obligation registers and set up reporting requirements.
- Maintain a register of Funds Management policies, Delegations of Authority, charters and procedures, and coordinate the timely review of policies, Delegations of Authority, charters and procedures including approval and upload to the FM Hub.
- Draft communications for the Funds Management division including people updates, quick user guides and other informative correspondence and maintain the communications register.
- Assist to develop and maintain a Funds Management reference pack ("bible") housed appropriately on the FM Hub.
- Manage access, documents and features of the FM Hub (SharePoint portal) and external JV Portal and assist in the administration of the online obligation register for IMA obligations across all funds.
- Draft responses to operational focussed queries for Operational Due Diligence questionnaires from existing and prospective investors which are coordinated by the Wholesale Investor relations team.
- Assist in maintaining appropriate systems, procedures and controls with a focus on continuous improvement initiatives and digitisation, including the documentation of processes.
- Assist in analysing and driving employee engagement initiatives.
- Ensure the delivering of high quality and timely service to all members of the Funds Management team with ad hoc requests, queries, review and collation of documents and papers; and
- Other ad hoc tasks as required from time to time.
