Records Support Specialist (Office & Admin Specialist Int)

This position exists to provide a friendly, inviting reception to the registration and records function at Pine Community and Technical College. The position ensures clear guidance and support to students, faculty and staff in understanding and navigating record and registration policies, processes and procedures. It ensures timely response and processing of key student and faculty requests related to records management, registration and student completion.

Salary Range: $20.45 - $28.79

Minimum Qualifications

  • Ability to provide prompt, courteous, and accurate information in person, by phone, and through email or other written/electronic correspondence.
  • Demonstrated ability to accurately input, verify, and edit electronic data in student information systems and other databases.
  • Skills in data entry sufficient to locate, identify and correct data entry errors
  • Familiarity with general records maintenance practices, including scanning and electronic filing systems.
  • Proficiency in using general office equipment and software (e.g., Microsoft Office Suite, email systems, and document imaging tools).
  • Ability to explain policies and procedures in a clear, concise, and professional manner to faculty, staff and students.
  • Ability to analyze and make recommendations to management for new or revised administrative practices and procedures for smooth and efficient office operation
  • Document and records management sufficient to maintain electronic or paper files for efficient organization and retrieval of information
  • Perform duties with politeness, respect and interest in positive problem solving

Preferred Qualification

  • Experience and/or working knowledge of college/university registration and records operations including FERPA, student records management, and student information systems.
  • Ability to maintain confidentiality of student records in accordance with FERPA and institutional policies.
  • Ability to organize and prioritize work independently, manage multiple tasks, and meet deadlines.
  • Demonstrated ability to learn new and evolving student services in higher education.

Other Requirements

In accordance with the Minnesota State Colleges & Universities (Minnesota State) Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
