Patient Access Services Representative

Job title: Patient Access Services Representative

Schedule: Full-time, 80 hours per pay period; Monday-Friday, scheduled between 7:00am to 4:30pm

Weekend rotation: No weekends

Holiday rotation: No holidays

Position Summary: The Patient Access Services Representative provides high quality customer service to patients and fellow staff, while working in a busy, multi-task environment. Strong communication skills and the ability to work with all levels of staff in the medical organization to help meet the needs of the community we serve are essential in this role.

Position Responsibilities:

  • Schedule appointments for the physicians to optimize patient satisfaction, provider time and most effective utilization of exam and treatment rooms.
  • Answer phones and determine needs of each caller in a polite and courteous manner.
  • Maintain minimal patient wait times for incoming patient calls, maximizing patient access.
  • Transfer calls to appropriate service area for assistance.
  • Preregister patients for appointments made within the designated scheduling time frame, following the pre-registration process for the organization.
  • Complete Workload messages, scheduling patients for needed follow up appointments
  • Manage Waitlist appointments, performing reschedules, health portal appt requests and managing waitlisted appointments.
  • Schedule Internal referrals, setting up patients for internal specialty appointments and completing the referral verification desktop information
  • Reschedule physician appointments when needed due to illness, schedule changes, or emergencies.
  • Participate in medical office emergency routine, whenever required.
  • Perform other duties as requested.

Position Requirements:

  • High school diploma or equivalent required.
  • 1 year or less of related work experience preferred.
  • Experience working in the medical industry preferred.
  • Exceptional accuracy and attention to detail required.

Knowledge, Skills, & Abilities:

  • Intermediate proficiency with computers is required.
  • Self-starter with excellent interpersonal communication and problem-solving skills.
