Responsibilities:

  • Initiating patient medical record request based on patient demographics and authorization forms.
  • Carefully verify patient identities by checking names, date of birth, insurance details, and other relevant information to ensure accurate record retrieval.
  • Obtain proper authorizations adhering to HIPAA regulations.
  • Maintain a detailed log of all record request, including date, provider contacted, status updates and expected delivery.
  • Actively follow up with healthcare providers to ensure timely receipt of medical records, addressing any delays or issues.
  • Accurately enter medical records into the electronic health system, properly indexing and organizing documents based on established protocols.
  • Prioritize urgent request and ensure timely completion of record retrieval tasks to meet deadlines.

Required qualifications:

  • High School Diploma or GED.
  • Provides excellence in patient satisfaction.
  • Possesses strong keyboarding skills.
  • Communicates effectively in ways that enhance productivity and build respectful relationships.
  • Demonstrates active listening, written, verbal, and information technology skills.
  • Adheres to high standards of personal and professional conduct.
  • Responds positively to change, showing willingness to learn new ways to accomplish work.
  • Adopts practices to improve work processes, enhance customer satisfaction and ensure excellence in daily work.
  • Good attendance.
  • Exceptional interpersonal skills and ability to work well within a team setting.

Desired qualifications:

  • 1 year of customer service experience.
  • Knowledge of basic medical terminology.
  • Knowledgeable in Aspect, Microsoft Excel, Word and Outlook.
  • Experience working within a large, complex healthcare setting.
  • Familiarity with UMHS electronic medical record systems.
  • Knowledge of University policies and procedures.

Modes of work:

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment.

Union affiliation:

This position is covered under the collective bargaining agreement between the U-M and the Service Employees International Union (SEIU), which contains and settles all matters with respect to wages, benefits, hours, and other terms and conditions of employment.

Background screening:

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
