Administrative Support Specialist

MMI is committed to creating inclusive communities and meaningful connections through employment and training. The Administrative Support Specialist is the face of the agency and serves as the first point of contact for MMI while providing administrative support to executive leadership and the Board of Directors. This role manages agency records, reporting, compliance documentation, and organizational coordination functions requiring discretion and independent judgment.

Key Responsibilities:

  • Manage front desk operations, including multi-line phone system and visitor coordination
  • Provide direct administrative support to the COO and Board of Directors, including agenda development, minute-taking, documentation, and follow-up tracking
  • Compile and distribute Board materials and maintain official governance records
  • Develop, organize, and maintain confidential agency filing and document retention systems
  • Prepare and submit reports, statistical data, and compliance documentation for grants, licenses, certificates, and accreditation
  • Coordinate customer satisfaction survey development and annual reporting
  • Organize executive meetings, strategic planning sessions, and agency-wide events
  • Ensure compliance with recipient rights standards, including documentation and incident reporting

Minimum Qualifications:

  • High School Diploma or GED
  • Three years experience in a large fast paced office setting
  • Experience and knowledge of advanced office equipment
  • Excellent grammar and written composition skills
  • A working knowledge of multiple computer applications, including database management, electronic spreadsheets, and data processing skill in excess of 65 words per minute
  • Must have a professional demeanor and appearance and be able to interact positively and effectively with board members, management, customers, staff, and the general public
  • Must possess strong analytical and organizational skills and enjoy working in an ever changing environment

Preferred Qualifications:

  • Experience in supervising clerical staff
  • Degree in Business Administration, Management Information Systems, or a related field
  • Previous experience in a rehabilitation or human service agency, and/or experience in interacting with a Board of Directors
  • Experience in planning or coordinating various meetings and events

Job Type: Full-time. Monday - Friday 8am-5pm.

Pay: From $15hr
