Specialist – Systems Operations & Data Management
The Specialist for Systems Operations and Data Management is responsible for the administration of local data management systems & processes, optimizing system operations, and ensuring seamless integration between data workflows and business functions. This role involves working closely with IT, data analysts, and business stakeholders to enhance data accuracy, accessibility, and system efficiency.
Supports the business in providing reports related to sales and incentive analyses and reporting, including visualizations and presentations that provide insights and recommendations for improving sales performance and sales goals.
Provide sales analyst support related to performance management, external partner data, and compliance oversight on FPP.
Key Responsibilities:
- Ensures availability, integrity, and efficiency of commercial operation infrastructure or systems, and the day-to-day operations of data processing and system workflows and ensure seamless integration between data systems, applications, and business processes.
- Maintain system documentation, workflows, and best practices for continuous improvement.
- Communicate system updates and/or issues to relevant stakeholders, ensuring technical issues are resolved effectively by the right stakeholders locally or above country.
- Supports system enhancement and/or deployment
- Defining local business requirements
- Leading user-acceptance testing (UAT)
- Local system admin (e.g. Company's Access)
Data Management:
- Local sales data management, data quality assurance (completeness and accuracy), ensuring completeness and accuracy of sales data, including from both distributor and sub-distributors fed to and processed in HHIE.
- Manage sales data processing for data or report generation for Ex-Company and In-Market
- Manage sales and inventory data from relevant 3P partners (e.g. Alliance, Contracted Sub-distributors
- Manage other market data (e.g. NSA)
- Monitor and resolve or troubleshoot data-related issues to maintain quality and reliability and communicate any updates and/or issues to relevant stakeholders.
- Updated with data-related business problems and opportunities at regional levels, and remediate, pro-act or mitigate local impact
- Ensure compliance with data privacy and security.
Reports & Analytics:
- Lead the processing, provision of local reports, and data input/input files (e.g. Axtria) to support the annual and quarterly performance management process (e.g. Kahusayan, SIP/QIP planning & Implementation)
- Provide the reports and analytics on the following:
- Operational Performance reporting
- Alliance monthly S&OP, business reviews, and forecasting (e.g. for May/Nov FC, Contract Renewal)
- Finance, CTC/KAM, including support for data input for Finance and CTC platforms (e.g. ACADs, CTS)
- Other ad hoc report as needed and other data requirements for data and analytics reporting and insights that will inform strategic and/or such as go-to-market approach, field force deployment, deployment of campaigns, etc., in addition to those in scope of DDA)
Compliance Oversight on FPP and DXTP:
- Responsible for the data maintenance of Financial Patient Program (FPP) and Diagnostic Test Program (DXTP)
- Support the ASM on the FPP report and analytics and oversight reporting
- Manage data sharing from 3rd party to ensure completeness, accuracy and timeliness of relevant FPP data
- Ensure compliance with data privacy and security, and the company's data matrix guidance for FPP-related data
Education:
- Degree in Computer Science, Information Systems, Data Management
Experience and Skills:
- 3+ years of experience in data operations, systems management, or related roles, or at least 5 years data operations, systems management, or related roles.
- Strong knowledge of data processing tools, databases, and ETL pipelines.
- Experience with system monitoring, performance optimization, and troubleshooting.
- Demonstrated ability to communicate effectively to a variety of audiences Familiarity with cloud platforms and data governance frameworks.
- Excellent problem-solving skills and attention to detail.
- Strong quantitative and analytical abilities.
- Good communication, and project management abilities.
- Have a service-mindset and work with multiple stakeholders of organization.
- Good leadership capability and logical thinking
- Excellent English and Filipino Oral, Written and Presentation Skills.
Preferred Skills:
- Proficiency in SQL, or other relevant programming languages.
- Experience working with and creating databases and dashboards using all relevant data to inform decisions.
