Administrative Associate II – US GCS Operations

We are seeking a dedicated Administrative Associate to support Global Clinical Supplies Operations at our West Point, PA facility. Performs administrative/clerical tasks supporting the West Point Clinical Operations team. Responsible for the archival of cGMP documentation among other clerical duties for administrative support. Responsibilities

  • Provide comprehensive administrative support and office management for GCS Packaging with specific focus on GMP record archival and retrieval for WP Clinical Supplies Operations
  • Requires basic knowledge and understanding of SOPs for the organization and Division, as well as, specialized terminology commensurate with the position.
  • Demonstrate self-sufficiency and train team members as appropriate on archival processes in alignment with procedures.
  • Proactively manage daily and weekly priorities and independently resolve
  • Partner with internal and external stakeholders and integrate effectively with other team members.
  • Demonstrate experience in GMP Administrative support, including verbal and written communication.
  • Maintain databases, general and department or Division specific applications.
  • Regularly perform independent basic research via basic internet and intranet searches
  • Utilize SAP for ordering, expensing and purchase orders. Manage expenses in a timely manner in alignment with budget and production needs.
  • Perform general secretarial/clerical duties in support of Clinical Operations
  • Coordinate and perform multiple tasks while understanding project principles and technical skills.
  • Work in teams or independently as needed to complete work assignments.
  • Assist team with designated tasks on a prioritized basis and problem-solve when appropriate.
  • Schedule and plan complex meetings; coordinate and schedule travel arrangements.
  • Complete complex/international travel expense reports in a timely fashion.
  • Maintain confidentiality and professionalism.
  • Assist with interview scheduling and onboarding of new hires across working level of GCS (clinical packaging technicians, distribution technicians, etc).
  • Occasionally produce/complete various work assignments requiring process improvement ability, independent judgment, creativity, and problem-solving skills.
  • Occasionally coordinate special projects.

Educational Qualification:

  • High School Diploma or equivalent.

Required Skills & Experience:

  • Minimum of 3 years Administrative Assistant experience.
  • Advanced computer skills using MS Outlook, MS Teams, WORD, EXCEL, PowerPoint, and operations of other company internal systems.
  • SAP-CONCUR-ARIBA experience processing Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms, as well as reporting within these systems.
  • Ability to handle and prioritize many simultaneous assignments.
  • Extraordinary attention to detail.
  • Outstanding communication, collaboration, and people skills.

Preferred Skills & Experience:

Demonstrated experience working in a GMP regulated environment.

The salary range for this role is:

$63,800 - $100,400

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.

The successful candidate will be eligible for annual bonus and long-term incentive, if applicable.
