Fuel Schedule Coordinator
Essential Duties and Responsibilities:
- Include the following, other duties may be assigned.
- Preparation of daily, weekly, monthly, and annual financial reports for the DFW Fuel Facility and issuance of such other statistical reports as necessary to meet the requirements of DFW Fuel Facility.
- Coordinates with system support personnel to develop written specifications for program modifications to enhance system functionality.
- Reviews program modifications test result(s) to ensure conformity to written specifications and ensures that necessary changes to system documentation are made.
- Ensure that all logs, control totals, sign offs, and processing are completed in approved manner and on a timely basis.
- Issuing written reports (minimum monthly), identifying agent, supplier, airline problems, and directing correspondence to appropriate third-party supervisory personnel.
- Issuance of all daily and monthly reports to airlines, agents, and suppliers detailing inventory activity for the month.
- Preparation and development of monthly invoices to DFW's member airlines and non-member participants.
- Overseeing and providing guidance in ensuring that individual supplier/airline fuel usage demands are satisfied in conjunction with total airport requirements and restrictions.
- Ensuring that U.S. Custom Bonded Fuel requirements (if applicable) are adhered to on daily basis.
- Coordination of any audits as necessary, by suppliers, airlines, ATA, etc. and DFW Fuel Facility.
- Individual may perform other duties as assigned, notwithstanding work in other functional areas to cover absences or relief, to equalize peak work periods or otherwise balance workload.
- Obtain, analyze and develop monthly fuel usage projections in conjunction with data supplied by suppliers/airlines.
- Utilization of fuel projections to determine appropriate physical inventory levels to maintain satisfied projections and airport demands. General oversight of scheduling activity is required.
- Coordinate scheduling of all fuel into individual supplier accounts to ensure inventory levels are sufficient to meet sales activity.
- Monitor individual inventory levels precisely to insure adequate storage capacity. These scheduling activities include working closely with DFW's airlines, suppliers, and pipeline transportation company to develop monthly fuel inventory projections and pipeline schedules well before the start-up of the month.
- Review daily accounting transactions activity to ensure compliance with scheduled activity.
- Ensure that a formal written documentation process is maintained from suppliers/airlines concerning fuel projections, exchanges, uplift scheduling, truck rack usage, pipeline schedules, etc.
- Schedule bonded (if applicable) fuel to ensure that inventory levels are sufficient to meet the sales demand as may be required.
- Coordinate/schedule fuel inventory/tank availability with operations for required tank cleaning.
- Schedule truck rack activity (on/off loads) to ensure compliance with insurance regulations at DFW.
- Schedule pipeline activity to ensure compliance with regulations at DFW.
- Coordinate and monitor required operations to ensure that product schedules are followed, and problems resolved in accordance to policy.
- Able to meet the Station's attendance standards.
- Other duties as assigned.
Qualifications and Experience:
- Must be 18 years of age or older.
- Possess and maintain a valid US driver's license with a clean driving record.
- Pass pre-employment drug screen and all pre-employment testing.
- Must be comfortable lifting 70lbs repetitively.
- Must be comfortable working in all weather conditions.
- Pass FBI background and obtain US Customs Seal
- Must be available and flexible to work variable shifts including weekends and holidays.
- Prior Fuel Facility / Aircraft Fueling/Airline experience preferred.
- Associate degree (A.A.) or equivalent from two-year college or technical school; or three plus years related experience and/or training; or equivalent combination of education and experience.
- Ability to read and comprehend complex instructions, correspondence, service contracts and memos.
- Ability to effectively present information and respond to questions from groups of managers and customers.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to apply concepts such as percentages, ratios, and proportions to practical situations.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Prior Fuel Facility / Aircraft Fueling/Airline experience required
