Air Medical Transport Supervisor

Reporting to Operations, the Air Medical Transport Supervisor is responsible to manage AMTS staff and systems to ensure the delivery of safe and efficient operations that meets or exceeds customer and patient expectations. Duties shall include organizing and leading mission logistics, base, and FBO processes, supporting the AMTS Team, working with the air and ground carriers to ensure safety and efficiency, implementing changes to improve service levels, liaising with partners such as the Medical Communications Center, NSH/C3, Airport Authorities, ground operations. Fundamental management skills required include demonstrated leadership, planning, organizing, directing, and motivating staff. This supervisory position will take direction from and act in close collaboration with the Operations leadership team. The AMTS Supervisor will also work in close collaboration with AMTS staff, Medical Communications Centre Patient Flow staff, and the staff of the air carriers. They are expected to positively communicate company philosophy and policy so that there is shared realization of the company's goals in the program.

The position entails, but is not limited to, the following:

  • Support and oversee the day-to-day operations of the Air Medical Transport (AMTS) Program, which may include but is not limited to, overseeing logistical base activities, safety and operational pursuits, and the safe and efficient completion of missions.
  • Liaison with Health and wellness as well As a champion for psychological Health and safety initiatives
  • Provide operations duty coverage, which includes problem solving, guidance and operational decision making as well as collaboration with medical control for assisting medical decisions, and air carriers, for aviation decision support.
  • Collaborate with the Medical Director if applicable and LifeFlight Leadership Team to resolve operational issues.
  • Utilize quality control information (e.g., equipment audits, occurrence reports, mission feedback) to follow up and improve program processes.
  • Oversee the staffing (scheduling) of the AMTS Team.
  • Ensure adequate communications with staff through equipment and supply updates, as well as provide safety, operational, and corporate updates and information on any other mission critical issues. Solicits feedback and suggestions from staff regarding daily operations especially those affecting patient care.
  • Act as a resource for staff regarding operational and safety issues.
  • Coordinate logistics (AMTS pilots, and airports, requesting agency) and participate in outreach activities as needed.
  • Participate and provide leadership on projects within the organization, as necessary.
  • Ensure that all concerns and issues of an OHS nature are managed to promote and ensure a proactive environment of managing safety in the workplace. Audit the currency of and adherence to operational and safety policies and safe work procedures.
  • Travel to perform site visits within the province as required.
  • In collaboration with the Operations leadership, participate in the ongoing development of replacement strategies and acquisition of capital equipment and supplies.
  • Oversee all aspects of AMTS materials management including, but not limited to, preventative maintenance, repair, supply ordering, inventory, auditing, and documentation of the same.
  • Conduct supply inventory audits to ensure that operational stocks are maintained and properly secured, and equipment is clean and serviceable.
  • In cooperation with procurement personnel, prepare purchase orders for equipment and supplies, verify deliveries, and recommend payment of invoices.
  • Develop and manage the AMTS staff, while possessing an aptitude for working with staff by assisting them to achieve the goals of the organization. Encourage and provide the components that will ensure employees reach their potential for self-motivation.
  • Under the direction of the Manager, ensures that all administrative tasks for the organization are completed. This may include, but not be limited to business cases, accreditation documentation, and contract requirement documentation.
  • Encourage semi-autonomous work groups and actively lead or participate on various committees. Conducts effective group meetings (including staff and safety) and leads staff by example.
  • Ensure required operational training is identified, coordinated, and facilitated for all AMTS care teams in conjunction with the IPP Division.
  • Fosters and educates others on the just culture philosophy.
  • Assist the IPP division in the organization of aviation safety educational requirements for AMTS staff as well as support all educational initiatives.
  • Participate in the orientation of new employees to the program. Ensure the operational orientation is completed.
  • Facilitate communication between the EHS Medical Communication Centre, medical partners, air carriers, and EHS LifeFlight.
  • Represent EHS/EMC on external public committees, including special events management, and presentations if required.
  • Provide leadership to all EMC staff while on duty. Participate in the selection process for the operations staff.
  • Actively develop and coach staff – reinforce developmental initiatives in collaboration with the human resources department and other development staff and/or committees.
  • Manage conflict and effectively solve problems in a timely manner.
  • Manage employee and labor issues within a confidential capacity. Strive to rectify and address any issues or questions pertaining to the Collective Agreement in an appropriate and timely manner.
  • Conduct performance appraisal yearly for the evaluation and development of employees based on all aspects of their performance. Assess and evaluates probationary employees.
  • Provide uninterrupted and accurate payroll reporting of all employees in supervisory authority.
  • Act as management liaison on behalf of employee concerns and questions with the EMC Support office.
  • In collaboration with the Manager and Human Resources, will administer discipline to the AMTS staff when appropriate, ensuring coaching and correction of performance problems are implemented timely and appropriately following the Just Culture philosophy.
  • Ensure all AMTS customer service inquiries – internal/external complaints are managed in an efficient and timely manner.
  • Conduct customer satisfaction surveys.
  • Play an active role in maintaining the accreditation of the AMTS program.
  • Participate in quality management monitoring which includes communication logistics and documentation, quality control/audits, and mission feedback review.
  • Collaborate with representatives of the Clinical Risk and IPP departments to identify and improve on issues that have potential or actual impact on the operations of the program and develop strategies for improvement.
  • Work in collaboration with the Risk Management and Occupational Health and Safety Staff to promote a safe working environment by identifying and resolving potential risk issues.
  • Participate in the development and annual review of all operational policies and procedures.
  • Participate in the ongoing maintenance and continuous development of the Quality Assurance Program.
