Reporting to the Director, Operations, the Administrative Assistant, Operations & MCC will be responsible to provide effective and efficient administrative support function to the management team. This position will be responsible for providing day to day business support and administrative services for the Operations and MCC teams. This position is essential to assist in the efficient and effective management of the MCC to ensure inquiries, reports and general administrative issues are dealt with in a timely and appropriate manner.

Responsibilities include:

  • Maintains regular and confidential internal/external communications within the department, with other corporate departments and corresponds with external stakeholders to clarify issues.
  • Provides administrative support to management and staff for the department's operations and quality assurance, training, financial, human resources, and IT.
  • Type memos, confidential reports, agendas, and general correspondence on behalf of the Director or other team members within the department.
  • Proofread transcribed correspondence for grammatical accuracy, sentence structure and content.
  • Typing correspondence, memos, confidential reports, and agendas. You may upon request, compose replies for general correspondence on behalf of the Senior Manager or other team members within the regional office.
  • Listen and transcribe 9-1-1 recordings.
  • Review Online Medical Control (OLMC) recordings.
  • Exemptions/exception reconciliation and reporting.
  • Using the computer aided dispatch (CAD) for verification of information and searching required data.
  • Coordination of procurement, scheduling shifts in the computer database, payroll, and orientation of the regional office for new employees.

Professional Qualifications & Competencies:

  • Possess a post-secondary education in office administration or equivalent combination of experience and education.
  • Have a minimum of three years related experience working in an office environment, preferably with experience in the health care industry.
  • Have strong computer skills using a variety of office software products.
  • Are willing and able to learn and use specialized administrative dispatch related software.
  • Have the capacity to listen to 9-1-1 calls of all type.
  • Can sometime work evening and weekends.
  • Work well in a fast-paced environment.
  • Self-motivated team player and able to work independently.
  • Excellent typing and proof-reading skills with high attention to detail.
  • Excellent communication skills both oral and written.
  • Comfortable working to a schedule with demanding turn-around times; and
  • Above average customer service focused.
