ABA Services Onboarding Coordinator

MeBe is a provider of evidence-based therapies for children with autism and other special needs. Play-filled, research-based care across multi-disciplines including Speech, OT, and ABA.

The ABA Services Onboarding Coordinator plays a key role in welcoming and preparing new team members to succeed at MeBe. This role ensures that every new hire—especially Behavior Technicians—feels supported, informed, and connected from day one. You'll coordinate onboarding logistics, guide new hires through training and credentialing, and collaborate closely with our People Ops and Clinical teams to create a smooth and positive start-to-MeBe experience.

About What You'll Do

  • Onboarding & Offboarding
  • Manage full-cycle onboarding, including background checks, I-9 verification, and document collection
  • Monitor and track candidate training completion
  • Improve the onboarding experience and streamline processes
  • Manage offboarding procedures, distribute paperwork, collect and distribute offboarding feedback
  • Support terminations and update employee records accordingly
  • Compliance & Training
  • Track employee licenses (RBT, BCBA, SLP, OT, CPR, BLS) and certification renewals
  • Lead and record onboarding training to ensure compliance with BACB, Medicaid, and state-specific requirements
  • Maintain accurate and up-to-date employee files and documentation
  • Ensure compliance with multi-state employment laws
  • Employee Relations & Support
  • Address employee concerns and disputes in a professional and confidential manner during training
  • Support performance-related conversations, disciplinary actions, and terminations during training
  • Coordinate company hosted events and communication, and share at company All Hands meetings
  • Systems, Policy & Performance Management
  • Maintain and update the Employee Handbook and HR policies
  • Coordinate and document performance review cycles
  • Assist in the development of new HR procedures and process improvements
  • Own all updates and changes that are onboarding related in HRIS (Paylocity) and Onboarding too (Tangelo)
  • Metrics & Reporting
  • Track and report HR and onboarding KPIs (time-to-hire, onboarding completion, payroll accuracy)
  • Provide data insights and support leadership with operational decisions

Qualifications

  • 2–4 years of HR or onboarding experience
  • Knowledge of HR compliance, onboarding best practices, and multi-state employment law
  • Experience with payroll systems such as Paylocity
  • Excellent communication, time management, and organizational skills
  • High attention to detail and ability to maintain confidentiality
  • Google Workspace, Canva skills preferred. Strong technical skills required.

Great to have but not required

  • Prior HR experience in an ABA setting is preferred
  • Familiarity with BACB guidelines, onboarding ABA providers, and Medicaid/state regulations
  • Preferred experience with ABA platforms such as Central Reach is helpful
